Mater is looking for a dynamic and experienced Executive Support Officer to join the team. This role is a permanent, full-time role based at Mater Newstead.
Salary range: $85,878 (MCA4.1) per annum plus superannuation and access to not-for-profit salary packaging up to $15,900 + access to many staff benefits!
Responsibilities:
You will provide confidential administrative support to the Office of the CEO and Mater Board by exercising judgement, making appropriate decisions and resolving day-to-day operational issues. You will also:
- Work as part of a team to ensure the efficient operation of the Office of the CEO.
- Liaise with a wide range of staff, clients and external agencies on behalf of the Office of the CEO in a professional, timely and respectful manner.
- Act as intermediary between the Office of the CEO and internal and external stakeholders, effectively managing enquiries through intercepting, screening and redirecting as appropriate.
- Examine, prioritise and determine action of incoming correspondence to the Office of the CEO including email, written correspondence and reports.
- Research, collate and draft information into appropriate reporting formats as necessary for decision making purposes and presentation to various forums.
- Prepare high-quality written correspondence and reports for dissemination to staff and other key stakeholders through effective written communication and timely delivery on behalf of the Office of the CEO.
- Organise meetings, workshops, prepare agendas, prepare minutes and follow up on actions from meetings.
- Provide administrative support including diary management, travel bookings, maintaining registers, credit card reconciliation and catering.
- Maintain an effective document management system for storing confidential documents, minutes and internal correspondence.
- Work with the Company Secretary to coordinate management reporting to Boards and Board Committees and then disseminate meeting documents before the scheduled Board or Board Committee meeting.
- Maintain meeting calendars and work plans for Boards and Board Committees.
- Work as part of a team to ensure the efficient operation of the Office of the CEO and provide backfill when required
- Assist the Company Secretary with secretariat and corporate governance processes.
