Description:

REQUIREMENTS

  • (ESSENTIAL) Worked in an Admin or Facilities-related role with experience using financial tools for processing invoices and purchase orders.
  • Excellent attention to detail.
  • Basic knowledge of Facilities Management or Commercial Property would be preferred, but not essential.
  • Strong computer skills with common applications (E.g. MS Office).
  • Polished and well-presented, with excellent communication skills.
  • Full working rights in Australia for a permanent position.

Responsibilities:

THE ROLE

Reporting to the Country Lead and sitting within a highly supportive team, you will provide important admin support to the Facilities team and be an important “all-rounder” across reception, mailroom, facilities and project support at a brand new refinery site in Altona, for one of the world’s largest Energy & Resources corporations.
This is a unique opportunity to work with a globally recognized brand at a brand new site, and play an integral part in some key expansion projects that could lead to a number of exciting career opportunities.

A typical day may involve:

  • Meeting and greeting visitors, issuing security passes and ensuring that all security procedures are followed.
  • Raising purchase orders and processing invoices related to facilities work carried out.
  • Assisting with the screening and onboarding of new contractors.
  • Ordering and organizing office stationary, including printing of business cards.
  • Being a key contact on site for cleaning contractors and Projects teams.
  • Collecting and distributing mail.
  • Assisting with major and minor projects including office fit-outs, expansions and system upgrades.
  • Conducting monthly site inspections and reporting on any issues.
  • Collaborating on regional initiatives for workplace experience.
  • Organising waste collection and effective document archiving.
  • Upholding exemplary standards of customer service, maintaining clear communication with CBRE staff, client stakeholders and external contractors.
