Description:

Job Overview:
The Facility Administrator (Part - Time) will be an active supporter of the University Park vision and philosophies while supporting FirstService Residential’s commitment to client, staff, and community. To support the operations of the association through customer support at the onsite facility which may include front desk reception duties, community event support/management, facility reservations, fitness center monitoring, and administrative functions.
Compensation:$18-$24/hr

  • Must possess some business/customer service experience.
  • Excellent, effective, and diplomatic oral and written communication skills.
  • Previous work experience in a customer service environment
  • Detail oriented with a high level of accuracy.
  • Outstanding computer skills to include: heavy word processing using Microsoft Word, spreadsheets using Microsoft Excel. General database entry and maintenance preferred.
  • Forward thinking, proactive, and able to provide creative alternatives for problem solving.
  • People/community oriented – represents the vision of FirstService Residential.
  • Must have use of transportation; possess current driver’s license and state-mandated vehicle insurance.

EDUCATION & EXPERIENCE:

  • Completion of some college course work is preferred.
  • Proficient in English.
  • Strong general math skills.

  • Must be able to hear in order to receive telephone calls and voice mail messages.
  • Must be able to sit for extended periods of time.
  • Must have finger dexterity for typing/using a keyboard.

  • Position is Part- Time
  • Overtime may occur based on business needs.
  • Consistent and regular attendance required.

Responsibilities:

JOB RESPONSIBILITIES:

Assist the Community Manager with the following. Other duties may be assigned.

  • Continual process of seamless connection between residents, Board of Directors, and Management.
  • Assist residents (via calls, email, face-to-face) with the distribution of key/gate access devices, facility reservations, and general questions pertaining to the Community and document activity.
  • Conduct daily inspections of the facility and report any maintenance needs via the work order system, to the Community Manager and follow through.
  • Provide weekly update report to the Community Manager of pending projects and activities accomplished.
  • General administrative functions (i.e., web-based software, updates logs/work orders)
  • Post notices for membership communications.
  • Works with collaboratively and professionally with fellow staff members to ensure all functions and projects are completed effectively and efficiently.
  • Attends all FirstService Residential company mandatory functions and comply with all FirstService Residential company policies and procedures.
  • Apply a pro-active approach to all areas of responsibility and strive for continued improvement and excellence throughout.
  • Must be able to handle multiple tasks concurrently.
  • Monitor and report any violators of the policies and guidelines to Community Manager.
  • Follows quality system procedures.
  • Other duties as assigned.
