QUALIFICATIONS, SKILLS AND KNOWLEDGE:

  • Proven experience in construction/facilities management, including planning, budgeting, and project coordination.

Responsibilities:

RESPONSIBILITIES:

  • Ov ersight of four locations with a team of approximately 20 people, provide subject matter expert level knowledge of facilities management, ensure staff workloads are managed and performance equal to mission and quality standards of company.
  • Serve as the main point of contact for all project-related communications. Liaise with clients, building tenants, architects, engineers, and regulatory authorities to address inquires and provide updates; expert in community and client relations. Maintain strong relationships with stakeholders, ensuring their satisfaction and addressing any concerns. Prepare and present progress reports, including project status, milestones, and key performance indicators.
  • Budgeting and cost management: estimate project costs and prepare budgets; monitor and control project expenses, ensuring adherence to the budget; review and approve contractor invoices and payment requests; identify cost-saving opportunities without compromising quality or safety.
  • Recommend corrective actions for the repair and/or replacement of failing or aging building components.
  • Plan and oversee repair work utilizing manuals, blueprints, diagrams, and equipment specifications.
  • Using relevant information and individual judgment to determine whether events or processes comply with laws, regulations, or standards.
  • Analyzing information and evaluating results to choose the best solution and solve problems.
  • Keeping up-to-date technically and applying new knowledge to your job.
  • Evaluate maintenance procedures regularly and make recommendations for improvements.
  • Ensure that security and safety of staff in buildings is top priority, where necessary take action to correct or enact steps that will improve a property in these two areas.
  • Perform routine and random property inspections and review any maintenance or property related issues with staff immediately.
  • Manage “Quality Control Process” that guarantees all maintenance request items are carried out by the client and OEM service standards; meeting client KPIs.
  • Knowledge of MAXIMO or similar CMMS software to manage and track assets and associated preventative maintenance schedules, and work orders effectively;
  • Oversees a large diverse team of maintenance staff, delegation of work to ensure that all contract requirements and workloads are addressed in a timely manner.
  • Manage budget and find cost-effective and cost-savings initiatives to maximize profitability.
  • Ensure that all Maintenance Technicians adhere to OSHA safety standards/protocols.
  • Maintain knowledge of the operation and maintenance of all mechanical and emergency systems within managed buildings.
  • Maintain emergency action plan readiness with staff by conducting routine drills.
  • Review on-going “problematic” maintenance matters affecting tenant satisfaction and resolve.
  • Responsible for the oversight of services, contracts and the bid process for multiple facilities in regards to capital repair/replacement projects, maintenance contracts, and any other maintenance related work performed on property:
  • Collect historical cost data to estimate costs for current or future products
  • Consult with clients, vendors, personnel in other departments, or construction foremen to discuss and formulate estimates and resolve issues.
  • Analyze blueprints and other documentation to prepare time, cost, materials, and labor estimates.
  • Confer with engineers, architects, owners, contractors, and subcontractors on changes and adjustments to cost estimates.
  • Assess cost effectiveness of products, projects or services, tracking actual costs relative to bids as the project develops.
  • Set up cost monitoring and reporting systems and procedures.
  • Maintain a directory of suppliers, contractors and subcontractors.
  • Review material and labor requirements to decide whether it is more cost-effective to self-perform or subcontract work.
