JOB DESCRIPTION

The Administration for Children’s Services (ACS) protects and promotes the safety and well-being of children and families through child welfare and juvenile justice services and community supports. ACS manages community-based supports and foster care services, and provides subsidized child care vouchers. ACS child protection staff respond to allegations of child maltreatment. In juvenile justice, ACS oversees detention, placement and programs for youth in the community.
ACS’ Division of Child and Family Well-being (CFWB) designs and executes strategies to support caregivers, children, and communities, so they can thrive and enjoy self-determination. A critical piece of CFWB’s portfolio is the operation of the City’s subsidized child care voucher system - one of the largest child care assistance programs in the country. ACS providers vouchers to tens of thousands of low-income and child welfare-involved families, allowing parents and caregivers to access affordable child care at the provider of their choice while they pursue work, education, or training.
The Office of Community Engagement & Partnerships (OCEP), within ACS’ Division of Child and Family Well-Being (CFWB), works collaboratively with community residents, leaders, faith institutions, fatherhood providers and other stakeholders to 1) Promote goodwill and help deepen the community’s awareness of ACS’ programs, services and campaigns; 2) Connect the general public and vulnerable children and families to an array of community supports offered by ACS’ contract agencies; 3) Organize and convene the community through ACS’ 11 Community Partnership Programs and 3 Family Enrichment Center (FEC) networks; and 4) Build new partnerships that help to support equity and family safety, stability, and well-being.
OCEP builds social capital through its externally facing strategies by 1) deepening the community’s awareness of ACS’ programs and services; 2) supporting ACS-funded coalitions and planning bodies; and 3) building local and citywide partnerships, with a focus on promoting primary prevention and child and family well-being strategies. ACS, through OCEP, has established a presence in key City communities, with the leadership of the outgoing employee who successfully developed strong partnerships with a range of community groups and organizations.
Job Duties of the FEC Operations Associate are as follows:

  • Manage the coordination and logistics of and attend both inter- and intra-office meetings between 30 Family Enrichment Centers (FECs) and other governmental and for- and non-profit agencies and prepare reports of key notes and observations

  • Liaise with up to 30 FECs by obtaining and conveying vital information needed and provide coordination between the FECs and CPs to provide essential services to New York City community residents and families

  • Produce high quality emails and messages to individuals at all levels of the agency and members of the community/public
  • Manage the FEC calendar and contact list, review social media posts, attend community events as required
  • Draft meeting agendas, manage meeting documentation and maintain an up-to-date electronic filing system
  • Coordinate the training calendar, requests for consultants, and other procurement related tasks
  • Update the start-up and implementation tracking systems
  • Manage overall communication between the FEC Unit and the other Offices within the Division
  • Create infographics and other presentation-ready graphics
  • Perform liaison duties as needed to ensure regular communication flow between key staff and senior leadership
  • Lead the onboarding (an ongoing support) of new staff and act as chief liaison with HR, IT and other technical areas
  • Review files submitted by FEC staff for errors and accuracy
  • Prepare and organize reports and documents
  • Order and maintain an inventory of office supplies and marketing materials to meet the office’s need
  • Manage communication with External Affairs to provide updates to marketing material and act as the point person for the office’s marketing needs
  • Liaise with consultants and manage in voices
