ABOUT THE JOB

The Financial and Administrative Coordinator provides advanced financial and contract administrative support, such as developing and overseeing financial control, reporting systems, and presenting budget submissions and justification for the multi-million-dollar portfolio within the Recovery and Integration Department. The Financial and Administrative Coordinator executes and enhances a variety of administrative functions across the Recovery & Integration department.

EDUCATION

  • Accounting designation such as CGA, CMA, or CA or other qualifications determined to be reasonable and relevant to the level of work.

EXPERIENCE

  • Recent, related experience of 4 years or an equivalent combination of education, training, and experience.
  • Experience with supporting large multi-million-dollar budgets.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Well-developed administrative skills to organize and administer office support functions.
  • Strong interpersonal skills, oral and written communication.
  • Attention to detail, resourcefulness, and excellent knowledge of office support technologies and programs including MS Office skills, video conferencing, and databases.
  • Ability to work independently and in cooperation with others.
  • Ability to supervise, develop, evaluate, and monitor financial systems and procedures.
  • Ability to interpret and apply policies and procedure.

Responsibilities:

  • Develops, evaluates, and oversees financial control and reporting systems related to budgets, grants, resource allocation, and contracts with external agencies and service providers.
  • Performs needs assessments, and develops and implements systems, such as contract monitoring to ensure compliance with terms and conditions, budget monitoring to ensure that commitments are supported by available funds, and fixed asset management systems.
  • Performs budget duties such as developing budget submissions, preparing and presenting budget justifications, and reports and advising Senior Provincial Manager and Director of Recovery and Integration on budgetary status, issues, and contract funds.
  • Ensures project activities and financial contractual obligations are in-line with project finances.
  • Performs departmental audit functions, such as verifying accuracy of financial records, liaising with internal financial staff, and implementing recommendations.
  • Performs complex projections, forecasts, and analyses such as cost-benefit analyses, trend analyses, impact analyses, feasibility studies, and business cases for new programs and initiatives. Makes recommendations on issues such as fund allocation, funding options, and contract negotiations.
  • May supervise staff by performing duties such as assigning work, providing feedback and evaluation, determining training requirements, orienting new staff, and maintaining timekeeping and attendance records.
  • Resolves staffing problems, including calling in staff to ensure appropriate staffing levels.
  • Assists with booking travel, logistical management, manage FLOAT accounts, dealing with all payments, invoicing- internal and external (and working in collaboration with accounts receivable and payable).
  • Supports other administrative tasks as needed based on departmental needs.
  • Performs other related duties as assigned.
