OPPORTUNITY

MacEwan University is seeking a service-oriented Front Desk Associate (Administrative Support II) for a full-time continuing opportunity with our kihêw waciston Indigenous Centre. Reporting to the Supervisor, you will perform general office and reception duties and serve as the first point of contact for visitors to the Centre, which includes students, staff, faculty, and community members.

Key responsibilities include:

  • Greeting visitors, responding to inquiries, triaging issues and providing information in person and by telephone and email;
  • Scheduling appointments for students to meet with the Centre’s staff;
  • Facilitating access to office space, including opening and closure, and maintaining the appearance of the front reception area;
  • Assisting with word processing and spreadsheet preparation;
  • Assembling, copying, and disseminating documents and materials;
  • Maintaining filing systems;
  • Managing mail, faxes, and courier shipments;
  • Managing office supplies, gifts, promotional materials, and assets;
  • Supporting the Coordinator in dispersing communications and marketing content;
  • Planning, organizing, and scheduling meetings;
  • Scheduling and coordinating Centre tours;
  • Assisting with event coordination and logistics; and
  • Assisting with special projects.

SKILLS

You will have:

  • Strong written and verbal communication skills;
  • Excellent interpersonal skills, with the ability to work independently and in a team environment;
  • Excellent time management and organizational skills, with a keen attention to detail and the ability to adapt to changing priorities;
  • Problem-solving skills;
  • The ability to exercise judgment, discretion and tact, and handle confidential and sensitive information in an appropriate manner;
  • Indigenous lived experience and an understanding of Indigenous knowledge systems and culture; and
  • Proficiency with Microsoft Office, Adobe Acrobat, and Google applications.

QUALIFICATIONS

  • A minimum of a high school diploma.
  • A minimum of 1 year of related experience providing comprehensive administrative support.
  • Experience working in a post-secondary institution or a related public sector environment is preferred.
  • An equivalent combination of education and experience may be considered.
