Responsibilities:

JOB PURPOSE

As a vital member of our Administration team, you’ll serve as the School’s initial point of contact, warmly welcoming visitors and efficiently handling phone and email inquiries. Your role involves promptly taking necessary actions and providing helpful responses. You’ll also play a key role in overseeing School Transportation Services and supporting various office duties, particularly in the Admissions process.

FRONT DESK RESPONSIBILITIES:

  • Provide efficient, professional, and friendly reception services for the school, handling telephone, email, and face-to-face inquiries from parents, pupils, and customers.
  • Welcome and assist all visitors, maintaining high levels of customer service.
  • Manage daily student registration and attendance records.
  • Provide customer service and initial information about the school when Admissions Team Members are unavailable.
  • Monitor visitor access and maintain security awareness. Inform the person the visitor has come to meet and arrange for the guard to escort them.
  • Update display boards/TV ads in the Reception area.
  • Liaise with class teachers and support staff on school events.

ADMINISTRATIVE RESPONSIBILITIES:

  • Provide administrative support, such as photocopying, word processing, ordering supplies, mailing, and courier services.
  • File and retrieve school documents, records, and reports.
  • Manage transportation and accommodation arrangements for staff, students, and guests (including flights and hotel).

SCHOOL TRANSPORTATION RESPONSIBILITIES:

  • Ensure efficient day-to-day school transportation operations while observing health and safety standards.
  • Provide information regarding School Transportation Services inquiries.
  • Liaise with the Lead Bus Driver/Transport Provider for concerns regarding transportation services.
  • Communicate with parents/guardians, transportation personnel, school administrators, teachers, and other district departments about school bus-related concerns.
  • Collaborate with the Operations Manager in reviewing the School Transportation Services Policy at least once per academic year.
  • Ensure that all bus personnel are properly oriented with the School’s policies.
