QUALIFICATIONS/REQUIREMENTS:

  • A minimum of 2 years’ receptionist experience
  • Fluent written and oral English
  • Strong communication (verbal & written) and interpersonal skills.
  • Excellent customer service
  • Good organisational & administration skills
  • Ability to prioritise workload efficiently
  • Ability to multitask
  • Proficient in Microsoft Office including MS Word, Excel, PowerPoint and Outlook
  • A positive attitude and a strong team player

Responsibilities:

THE ROLE:

The main purpose of the role is to provide Receptionist Services & Administration duties.

RESPONSIBILITIES INCLUDE:

  • To represent Derrycourt in a professional, friendly and ethical manner at all times. Managing the front of house to ensure all visitors and employees are welcomed professionally.
  • Operating the telephone in a friendly, professional manner, transferring calls to correct extensions and ensuring all calls both external and internal are answered efficiently.
  • Responsible for all visitors, courteously greet visitors, determine their needs and direct them to the appropriate person.
  • Sorting and distributing incoming daily post and processing outgoing post.
  • Check fax system daily and ensure that all faxes received are forwarded onto the relevant person(s)
  • Booking meeting rooms when necessary and ensure rooms are prepared for meetings when required.
  • Manage stationary and condiment stock levels and place all orders in line with the company budgets and complete relevant Purchase Orders.
  • Vehicle management – booking all services and tests as required.
  • Main point of contact in office for archiving – ensuring all files archived as per procedures and databases updated.
  • Order taxis, couriers as requested ensuring approval has been received.
  • Ensure reception and waiting area is always kept neat and tidy.
  • Perform other general administration duties as requested by the Customer Support Manager.
