Description:

Responsibilities:

  • Greet and assist visitors, providing information about current and upcoming exhibitions, artists, and gallery events.
  • Assist with the installation and deinstallation of exhibitions, including handling and preparing artwork as directed.
  • Process sales transactions for artwork.
  • Maintain cleanliness and organization of gallery spaces, including galleries, reception areas, and storage areas.
  • Support marketing and promotional efforts by distributing materials and assisting with social media updates as needed.
  • Assist with event coordination and execution, including openings, workshops, and private viewings.
  • Perform administrative tasks such as answering phones, responding to emails, arranging appointments, meetings, and conference calls.
  • Coordinate travel arrangements and prepare itineraries as needed.
  • Organize and maintain electronic and physical files, ensuring accuracy and confidentiality.
  • Monitor and order galley supplies and maintain inventory.
  • Provide general administrative support to remote team members as required.

Qualifications:

  • Proven experience as an Gallery Assistant, Administrative Assistant, Virtual Assistant, or similar role.
  • Proficient in Microsoft Office suite (Word, Excel, Outlook, PowerPoint) and virtual communication tools (e.g., Zoom, Slack).
  • Excellent organizational and time management skills with the ability to prioritize tasks.
  • Strong verbal and written communication skills.
  • Ability to work independently and efficiently in a remote work environment.
  • High level of discretion and professionalism when handling sensitive information.
  • Experience with calendar management and travel coordination preferred
