Job Purpose

  • Manage the front desk and provide general administrative support to a department or group of professionals. Work is performed under limited general supervision and requires incumbents to exercise independence and discretion.
  • Perform Project specific administrative duties in support of the execution of the project, consisting of, material movements, 3rd Party interfacing for certification of equipment.

REQUIREMENTS:

  • Diploma in relevant discipline with a minimum of 4 years of experience or 6 years of practical administrative experience.
  • Experience with SAP would be considered an asset
  • Experience with material coordination and vendor management is considered an asset.
  • Fluent in speaking and writing in English.
  • Broad knowledge of departmental function, terminology, and interrelationships. Solid understanding of policies and procedures that apply to assignments.
  • Ability to evaluate and resolve problems independently.
  • Strong interpersonal skills for inter-departmental and supplier interaction.
  • Advanced proficiency in Microsoft Office (Word, Excel, and PowerPoint).
  • Must have the ability to handle many diverse tasks simultaneously and be able to work effectively with interruptions.Demonstrated ability to handle confidential or sensitive information or issues.

Responsibilities:

RESPONSIBILITIES

Administrative Assistant Responsibilities

  • Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately.
  • Answer, screen, and forward incoming phone calls.
  • Receive, sort, and distribute daily mail/deliveries.
  • Works under minimal supervision performing administrative support duties requiring some judgment and initiative to determine the approach of action to take in non-routine situations.
  • Applies a thorough level of understanding of the organization, programs, and procedures related to the work of the department and/or team.
  • Project Administrator Responsibilities
  • Receives general instructions for routine projects and detailed instructions for more complex projects.
  • Act as an interface between 3rd party suppliers with applicable project representatives to ensure scopes of work are assigned and completed.
  • Answers inquiries and responds to correspondence from inside and outside the company. Works with others to resolve problems.
  • Completes and distributes material coordination inbound/outbound for project execution.
  • Building of project quotations/proposals in support of Project Managers
  • Support inventory controls.

MAIN TASKS:

  • Routes or answers routine correspondence not requiring supervisor’s attention.
  • Performs clerical and administrative duties including typing, proofreading, and editing documents. Composes and may initiate routine correspondence and memoranda.
  • Suggests improvements to increase efficiency and improve communication of departmental and functional information.
  • Maintains efficient paper and electronic filing systems and ensures quick retrieval of requested documents.
  • Identifies and suggests ways to improve the efficiency and effectiveness of the department.
  • Assist with planning, coordinating, and planning for on-site and offsite suppliers.
  • Ensures accurate and timely communication with the parties involved.
  • Completes all training assigned in the learning management system in a timely manner.
