Job Description
The Gift Processing & Compliance Administrator reports to Finance and works closely with the Financial Development team to create a seamless donor accounting and stewardship process. This position is responsible for the financial, recordkeeping, communication, and compliance aspects of gifts and donations. This position ensures efficiency, accuracy, and timeliness in processing donor information and donations using best practice techniques to maintain optimal data integrity and reporting. This position plays a key role in maintaining database integrity and maintaining donor communication and satisfaction through timely donor acknowledgment. The Gift Processing & Compliance position will be responsible for implementing a process to maximize pledge fulfillment and reduce past-due pledges. In addition, this position will be responsible for assisting the Financial Development team with grant compliance through the tracking of grant funding.

Qualifications

  • Three to five years of experience in bookkeeping, accounts receivable, account reconciliations, and customer service in a large business environment.
  • Nonprofit experience, knowledge of gift accounting, and donor database management experience preferred.
  • Computer skills including Google Suite, Microsoft Word, Excel, and mail merge and the ability to quickly learn in-house software programs.
  • Proven record of data accuracy and input speed, including standardized data codes.
  • Must have demonstrated ability to provide excellent customer service to all constituents.
  • Ability to manage time and work on multiple projects is essential.
  • Solid oral and written skills with the ability to write reports, letters and business correspondence.
  • Proficient with numbers, basic math, cash handling and bookkeeping practices.
  • Must be detail-oriented with a strong work ethic and integrity.
  • Must be able to work beyond normal working hours as may be needed to meet reporting and accounting deadlines.

Essential Functions

  • Responsible for all phases of the financial aspects of the donations process for annual giving, capital campaign, endowment gifts, grants, and other gift types.
  • Processes all donations accurately and in a timely manner. Validates pledge forms, enters data into donor and financial records, prepares funds for deposit.
  • Maintains copies of donor payments and correspondence and uploads into a database for historical documentation.
  • Performs data entry for new and established donor records while ensuring data accuracy and following established data procedures.
  • Generates outstanding pledge reports to create pledge reminder letters and/or invoices, completes the mailing process, and posts payments.
  • Verifies and enters employee pledge payments made through payroll deduction.
  • Identifies past due pledges and alerts supervisor, campaigners, and the Chief Financial Officer; providing follow up as instructed.
  • Supports special events by preparing acknowledgments and ensuring fulfillment.
  • Responds to requests and questions concerning reports, records and donor history.
  • Prepares philanthropy reports, including campaign summaries, pledge payment summaries, donor lists, fundraising summaries across campaign years, status updates for individuals and campaigners and all other reports as requested.
  • Supports the process of grant tracking by being familiar with specific grant requirements, gathering information, communicating with internal stakeholders, and preparing reports and providing updates.
  • Prepares account reconciliations on an ongoing basis.
  • Under the direction of the Chief Development Officer and in support of the development team, perform prospect research by data mining and other information sources to identify potential donors.
  • Other duties and responsibilities as assigned by the supervisor.
