Description:

The GME Services Coordinator oversees the scheduling and administration of fellows, residents and medical students in a medical training environment. The position relies on guidelines and some experience and judgment to complete job and works under general supervision.

  • Education - Bachelor’s degree or equivalent relevant experience
  • Fellow, Resident, and Medical Student On-boarding
  • Responsible for all fellow/resident and medical student credentialing and verifications. Responsible for annual archiving of credentialing files.
  • Regularly communicates with affiliated medical schools and residency programs to gather required information and coordinate activities of fellows/residents and students at SFMC. Facilitates all fellow/resident and student orientations and other training as required. Creates materials, compiles, and regularly updates information packets for incoming fellows/residents and medical students.
  • Creates computer access for all incoming fellows/residents and medical students. Maintains access in the IS database and updates as needed. Conducts training of residents and medical students on use of Powerchart, Firstnet, Chartmaxx and Lake MD including the process for submitting orders via Computerized Physician Order Entry (CPOE). Provides regular assistance with troubleshooting.
  • Resident Relations
  • Regularly communicates with fellows/residents and medical students. Provides on-going support for fellows/residents and medical students including distribution of I.D. badges, meal tickets, computer access trouble shooting, etc. Creates monthly Pediatric Emergency Room resident work schedule. Works with residents and coordinators to assign residents to monthly shift schedule.
  • Responsible for fellow/resident and student housing requests and makes assignments as appropriate. Coordinates monthly move-in / move-out. Liaison between tenants and landlord to resolve maintenance issues, etc. Performs regular inspections of units including annual capital inventory. Responsible for scheduling cleaning services.
  • Distributes monthly resident and student surveys. Tracks feedback and works with GME Director to identify opportunities for improvement and develop action plans. Assists with policy updates and distribution to applicable parties. Provides administrative support to Director GME and Medical Director GME as required.
  • Resident scheduling
  • Updates and tracks monthly rotation schedules. Regularly updates and distributes monthly rotation rosters. Maintains accurate and efficient fellow/resident and student filing systems and ensures that file systems are neat and well-organized and contain all components required for accrediting body compliance.
  • Maintains records
  • Works closely with HIM to track fellow/resident chart deficiencies. Responsible for follow-up with fellows/residents.
  • Enters fellow/resident and medical student information into various electronic databases. Ensure databases are up to date with most current information, including demographic information and active/inactive status on a regularly basis. Maintains accurate demographic records of residents and compiles information needed by accounting on a monthly basis for cost reporting purposes.
  • Annual review of IRIS data to ensure accurate data entry for cost reporting/reimbursement purposes.
  • Works with Marketing to maintains and update GME webpage.
