POSITION SUMMARY

Under minimal supervision by the Coordinator of Graduate Programs and Evaluations, the Graduate Evaluator facilitates student retention, graduation, adherence to degree requirements, and adherence to university policies. The primary responsibilities are: 1) Oversee degree progress, special petitions, and graduation for at least one-third of the Master’s degree students, 2) Effectively communicate options and necessary actions for student progress to students, graduate advisors, and others, 3) Encode individual student degree exception and other cohort groups, 4) Maintain and archive documentation of all changes made to the graduate degree audit programming, 5) Ensure that program encoding accurately reflects degree requirements, including annual curriculum changes and blanket waivers, 6) Test and troubleshoot as needed, 7) Assist Business Analyst with routine degree requirement updates and maintenance in multiple electronic systems.
The successful candidate will maintain current knowledge in policies and procedures that may be moderately complex and are revised annually. They must communicate effectively with a variety of constituents and work collaboratively with others, both within and outside of the unit. This includes graduate advisors and other faculty, staff from academic units, and student support staff from across the university.
The position requires mastery of many procedures and coding of the student information system. Strong critical thinking skills are essential. The ideal candidate understands complete sets of degree requirements and administrative processes, whether explained in conversation or written instructions.
The Graduate Evaluator must be able to reinterpret electronic systems, processes, and databases as logical, explainable steps and must also be able explain policies and complex procedures to others in a variety of settings.
This is a full-time (1.0 time-base), benefits eligible, permanent/probationary position. This position is designated exempt under FLSA and is not eligible for overtime compensation. Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
The individual hired into this role will work on campus at SDSU in San Diego.

DEPARTMENT SUMMARY

The College of Graduate Studies (CGS) provides leadership, advocacy, financial support, and coordination for all graduate and post-baccalaureate education at San Diego State University, including the university’s 90+ masters and 27 doctoral programs. The organization consists of approximately 10 full time personnel, led by the Dean. Core office functions include degree evaluation and conferral, student services, implementation of policy of Graduate Council, CSU, and California Ed. Code Title V, and administration of graduate student funding.

EDUCATION AND EXPERIENCE

Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field. Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown below may be substituted for the required education on a year-for-year basis.
Possession of the required knowledge and abilities is typically demonstrated through the equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth. A Master’s degree in a job-related field may be substituted for one year of the professional experience.

KEY QUALIFICATIONS

  • Proven ability to present information and communicate ideas clearly.
  • Basic knowledge of MS Office suite is required.
  • Ability to apply professional mentoring skills and implement policy when working with faculty and staff.
  • Three years of progressively responsible professional student service work is preferred.
  • Two years of experience working in a student related office in which it was required to accurately interpret and effectively explain academic policies is preferred.
  • Experience working with students, evaluating for graduation requirements, plans of study, and relaying appropriate requirements to students.
  • Experience working with Student Information Systems (SIS).
  • Experience working with electronic forms and workflow software.
