ESSENTIAL QUALIFICATIONS:

  • Minimum 1 year experience as a Graduate Administrator in a PhD environment
  • Demonstrated experience in allocation and administration of PhD funding packages
  • Basic to medium knowledge of MS Excel and MS Office 365, ACORN/ROSI.
  • Experience managing admissions and recruitment of students in a PhD environment
  • Experience contacting external examiners for final oral exams in a PhD environment
  • Experience coordinating travel arrangements
  • Experience with eMarks processing
  • Familiarity with SGS graduate policies and procedures.
  • Basic proficiency with SLATE
  • Basic knowledge administering postdoctoral fellowships and their dossier.

Responsibilities:

  • Advising students on academic and/or financial matters by providing options and consequences incorporating personal circumstances impacting academic success and an understanding of an individual’s background.
  • Analyzing and making recommendations on PHD award funding allocation
  • Preparing Graduate supervision Awards, stipends, and TA hours allocation.
  • Providing detailed information on PHD program and/or course eligibility requirements, procedures, policies and deadlines.
  • Verifying that students have access to courses in student information systems.
  • Reviewing and approving changes to program requirements for exceptional cases.
  • Preparing and analyzing statistical information to inform enrollment projections and planning.
  • Organize the PHD student recruitment session.
  • Analyzing service delivery and/or internal processes and recommending improvements.
  • Preparing the dossier of Postdoctoral fellows.
