REQUIREMENTS:

  • Excellent skills with Microsoft Word, Excel and Outlook.
  • Accurate with a good attention to detail.
  • A positive attitude and willingness to learn
  • Experience with Opera PMS
  • Experience with hotel sales and contracting
  • Confident team player

Responsibilities:

  • To manage all group block space.
  • To be the on-site contact for Groups and meet with Tour Guides
  • To quote and administer all group bookings in line with company policies and procedures
  • To respond to all incoming inquiries for ad hoc groups, and to provide accurate and detailed quotations.
  • To make decisions on the acceptance or rejection of group bookings in conjunction with the Revenue Manager, based on rate and availability, in order to maximise hotel revenue
  • To maximise hotel revenue by taking every opportunity to up-sell products and hotel services whenever possible.
  • To maintain a demand calendar addressing all citywide events
  • To ensure a rolling monthly check is made on all incoming groups and options held to ensure accurate inventory availability, and to check and manage the Block Forecast Report, ensuring all groups are chased, information is up to date and accurate.
  • To be fully knowledgeable in the operation, functionality and standards required in using the PMS booking system.
  • To input group/block reservations into the PMS ensuring all details are accurate and complete in line with the agreed departmental standard.
  • To generate weekly detailed BEO packs of upcoming groups to ensure they are prepared for groups arrival.
  • Analyse all refused, lost, cancelled and wait-listed business for groups. Propose changes to maximise revenue.
  • To ensure strict chasing / follow up / contracting procedures are in place and adhered to.
  • To identify potential sales leads for the Corporate and Leisure sales teams to develop future accounts.
  • To develop a good working relationship with both Corporate and Leisure accounts to encourage future loyalty and business opportunities.
  • To pro-actively target accounts bookers to secure new business for the hotels.
  • To schedule show round site visits and assist as required.
  • Ensure that all relevant system training is planned, completed and recorded as given.
  • Ensure regular communication and meetings with the sales revenue teams.
  • To attend relevant meetings with the Sales and ME Team
  • To collaborate effectively with the ME team to ensure we are effectively selling bedrooms
