Description:

This is a primarily a working from home role that may require office-based work at times within the health and Safety team office located at Nottinghamshire Divisional Headquarters (Beechdale Station) and travel Trust wide, the post holder will provide administrative support for the Health & Safety Team. The post holder will ensure that internal procedures are followed and deadlines are adhered to so that the Team provides a quality, focused and professional service.

Responsibilities:

Dealing with complex and sensitive information.
Liaising and communicating effectively with everyone using interpersonal skills including tact and diplomacy.
Demonstrating ability to deal with a high volume of work whilst maintaining standards and meeting deadlines in a fast-paced environment to achieve Team objectives.
Using personal judgement and following managerial guidance and support in relation to prioritisation of workload.
Having attention to detail and accuracy.
Coordinating and managing loads of administration work
Supporting the Team in their role to distribute and disseminate prepared information, meeting papers, safety notices, inspection reports and risk documentation.
The successful applicant will be a competent user of Microsoft Office packages including proficient use of Microsoft 365, Word, Excel, PowerPoint and Outlook.
The Post holder will work in accordance with the Trust Policies and procedures.

2, Proportionate and timely information sharing internally and with external agencies
3. Gathering information and chasing responses to core actions
4. Manage and coordinate diaries, collation of information and agenda items for internal meetings
5. Maintaining policy and risk assessment schedules
The duties and responsibilities of the post will be undertaken in accordance with the policies, procedures and practices of the Trust, which may be amended from time to time.
Patient Safety is a key priority for the Trust. It is your responsibility to ensure that you are fully compliant with EMAS policies and procedures in respect of patient safety, for example Risk Management, Infection Prevention and Control, Safeguarding children and adults.
This job description is not intended to be an exhaustive list of duties and responsibilities, but to give an indication of the main areas of activity and involvement.
1.Assist where necessary Team with their administration duties including maintaining databases and systems and processing audit results into electronic systems.
2. Provides general administrative support for the Team including, maintaining/updating the team’s databases, distribution of tasks, minute taking and inputting audit information.
3 . Proportionate and timely information sharing with the appropriate and identified external agencies which include the Health & Safety Executive (HSE) Fire & Rescue in line with Trust Policies.
4. Manage and coordinate diaries, collation of information and agenda items for cases and internal meetings and producing documents for trust use. Scheduling of interviews and meetings on behalf of the Team.
5. Chasing outstanding actions in relation to audits and investigation action plans
6. Maintaining the Policy and Risk Assessment schedules
7. Ensure all documentation is contemporaneous and in line with current procedures.
8. Maintain working knowledge of all EMAS policies and procedures and adhere to them at all times.
9. Any other duties within the general scope of this post, which may reasonably be required.
10. Will be responsible for continuous personal professional development
