POSITION OVERVIEW

The Health Program Management Office Administrator assists the Director and the Operations Manager in developing and improving Health programs processes &/procedures, coordinating programs &/services contract and administrative functions within the Health Project Management Office team. Under the direction and guidance of the the HPMO Administrator supports all aspects of the day-to-day activities of the Health Project Management Office.

QUALIFICATIONS

  • College Diploma or University Degree in a related field or equivalent experience
  • 1-3 years’ experience working in a Project Coordinator or similar role (i.e. Contract Administration/Management environment)
  • Experience working in a Government and/or Private Sector contracts environment
  • Ability to prepare and interpret schedules and detailed process plans
  • Advanced knowledge using Microsoft Excel, Outlook, PowerPoint, Teams and Word
  • Excellent organizational, customer service, written and oral communication skills
  • Experience with project management tools (i.e. Microsoft Project) is an asset

Responsibilities:

The Health Program Management Office (HPMO) Administrator, under the direction of the Director supports HPMO and HCPR Central Contract Office (CCO) functions which may include, but not limited to, the following:

  • Use Project Management tools to track and monitor projects: hours, timelines, deliverables, travel. For example, Client task authorization and subsequent contract task documentation processing (receiving, logging, response coordination, review and preparation for submission, and submission to clients and reporting for Calian stakeholder or client purposes)
  • Contract documentation and reporting, which may include contribution, review and or development of content for Health contract documentation and reporting
  • Interfaces with Calian Divisional Services teams (e.g., Client Billing, Contract Administration, &/ Human Resources) to facilitate administration of contract documentation and reporting
  • Applicant tracking database (e.g., Desk Flow) data population, quality assurance and reporting
  • Coordinate, track, and document various Health contract project management activities, including resources, resource credentials, equipment, finances, and information (for example licences, and certifications such as WHMIS & N95)
  • Assist with research for rate increase or new rate proposals, which may include research and/or review of content for HCPR or Clinician Services contract rate proposals and/or client requests for proposals
  • Contributes to continuous improvement initiatives, which may include HCPR or Clinician Services processes/procedures or internal Calian processes/procedures
  • Communicates focusing on the customer experience as and when requested, and with guidance, to Calian and client team members in support of HCPR and Clinician Services contracts
  • Attends regular and ad-hoc meetings of the Health Services teams and clients as required
