Position Purpose:
The overall duty of this position is to support the day-to-day operations of the Human Resources department. The HR Administrator will work closely with Operational Management staff to ensure all training, orientation, onboarding, certifications and data is collected and processed in alignment with company policies and procedures.
This position is on a temporary full-time bases until December 31, 2024 with the possibility of extension.

Duties and Responsibilities:

  • Oversees and maintains the administrative processes for all personnel including collecting and auditing required paperwork for payroll processing.
  • Ensures accurate and timely data entry for payroll purposes.
  • Conducts regular audits to ensure employee records are in compliance with corporate policies.
  • Processes driver’s abstracts requests in accordance with the corporate Driving Policy.
  • Initiates IT setup and hardware requests.
  • Collects and maintains technical certifications for office staff.
  • Completes employment verification as requested.
  • Coordinates travel and accommodation bookings for management staff.
  • Prepares purchase order requests.
  • Develops strong working relationships with colleagues, staff, and third parties, including union representatives and key vendors.
  • Assists with or leads ad hoc projects such as company social functions or continuous improvement initiatives.
  • Develops HR reporting as required.
  • Maintains inventory and order supplies - office, kitchen, stationary, including business cards and corporate stationary in a cost-effective manner.
  • Maintains fax and postage machines.
  • Organizes collection, distribution and dispatch of all incoming head office email queries and faxes.
  • Maintains employee phone lists and updates as necessary.
  • Coordinates accommodations and catering for various functions as required.
  • Assists the President and Senior Management team with administrative duties as requested.
  • Adheres to organizational policies and procedures, including but not limited to Applus
  • Code of Ethics and Confidentiality Agreements.
  • Other duties may be assigned as deemed necessary.

Education and Work Experience:

  • College Diploma in Human Resources or related field.
  • 1-2 years’ experience in Human Resources. HR students are also welcomed to apply.
  • Experience in a unionized/labour relations field and in the oil and gas field is an asset.
  • Equivalent industry experience combined with other formal training and accreditations may be accepted.

Working Conditions:

  • The physical environment requires the employee to work inside an office environment, protected from weather conditions but not necessarily from temperature changes.
  • The work is primarily sedentary.
  • The noise level in the work environment is usually quiet to moderate.
  • Work outside of normal business hours will be occasionally required.
  • Overtime required during the week and weekend with work volume.
  • Ability to be flexible with work schedules and respond to requests without advance warning or notification.
  • Occasional to frequent travel will be required within Canada.
