REQUIREMENTS

  • A diploma in human resource management, business administration, and/or any other related field.
  • 1 – 2 years’ experience in a similar role, preferably in a professional services firm
  • Proficiency in MS Office suite
  • Effective communication and problem-solving skills
  • Demonstrable project management experience
  • Strong interpersonal and networking skills, ability to cultivate relationships across teams
  • Ability to function independently, effectively and professionally in a constantly changing environment

Responsibilities:

ABOUT THE ROLE

Providence Law Asia is seeking an associate to assist with the firm’s Human Resources and Office Operations work.
As a HR assistant, you will be involved in and exposed to all aspects of the firm’s HR matters, including but not limited to organising and facilitating the firm’s recruitment activities and events, performance management process, onboarding and orientation processes, resource management and budgeting work, internal and external compliance with regulatory authorities, and developing and executing the firm’s HR policies and procedures. As an Office Operations assistant, you will assist in the administrative and operational work to maintain the firm’s office and facilities.
This role is most suited for a motivated, self-driven and organised individual, who is willing to learn the ropes of working alongside lawyers in a fast-paced and professional working environment. You will be reporting to and guided by a HR executive and an Office Operations executive.

RESPONSIBILITIES

HR administration and operations

  • Administration & Records : maintaining accurate employee records, HR Standard Operating Procedures, leave and MC records, and processing claims.
  • Compliance : assisting with the submission of documents and records to regulatory authorities, e.g. MOM, Law Society, etc.
  • Recruitment : assisting with all aspects of the firm’s recruitment activities and the firm’s student outreach efforts. This includes managing job advertisements and applications, scheduling interviews, managing offers and onboarding new employees.
  • Performance management : assisting with the performance management and appraisal process.
  • Policies and communications : updating HR policies and guidelines, preparing internal HR communications and memorandums, assisting with employee surveys, and compiling HR data.
  • Resource management : assisting with HR budget tracking and the collation and analysis of the firm’s resources

Office operations and facilities management

  • Office operations : ordering, managing of supplies and maintenance for (i) fixtures, furniture and equipment, (ii) security access, (iii) pantry equipment and supplies, (iv) stationery supplies, and (v) aircon, cleaning and pest control servicing; setting up of meeting rooms
  • Logistics : maintaining and arranging for delivery services and arranging logistics support for the firm
  • Marketing and business development : ordering and managing of office work supplies for employees and events
