Description:

Constantin, a Deloitte France regional office based in London, is specialized in auditing UK subsidiaries of Groups audited by Deloitte (mainly Deloitte France). The office is continuing to enjoy a strong growth in attracting new clients and is looking to recruit a HR Administrative Assistant for a 1-year contract to support the HR team and our team of nearly 120 audit professionals.

JOB DESCRIPTION:

This role is split between to area of responsibilities:

  • Reception/Admin support – 1/3 of the time allocation
  • Administrative support (HR Admin) – 2/3 of the time allocation

Reception/Admin support

This partial role is expected to last till end August/mid-September. Thereafter, the role will be 100% Admin/HR.

  • Presential at the reception desk
  • Looking after clients visiting our premises (coffee, Wi-Fi access …) if receptionist is not available.
  • Managing suppliers ‘orders for the office, including weekly stationary top-up.
  • Checking supply levels in each of the 3 kitchens on a daily basis (coffee, milk, water fountains, biscuits …) and for the photocopiers (paper).
  • Helping the Event Assistant with the logistic of our regular monthly events.

HR tasks:

Training will start from day one, with a view to switch to 100% of time allocation by mid-September.

  • Existing staff monitoring - updated in real time.
  • Existing staff monitoring using HR software (covering all aspects/steps of the HR file).
  • Maintaining contents of the individual staff’s HR files.
  • Recruitment and new staff monitoring – updated in real time.
  • Assist the HRBP on the recruitment booking interviews and preparing all relevant documents such as offer letter, contract send, etc …
  • File creation in the HR folders.
  • Preparation of Bios prior to arrival date.
  • Constantin structure to update prior to arrival date.
  • Sending out required pre-joining emails/arrival day emails and monitoring return of said form completed and signed.
  • Assist the HRBP during the September Onboarding on the Admin side.
  • Leavers’ monitoring – updated in real time.
  • Leavers monitoring tables to cover resignation date, BPP status, notice to France …
  • Email with exit check list 2 to 4 weeks prior to leaving date and monitoring return of said form completed and signed.
  • Checking and confirmation of number of holidays outstanding at leaving date.
  • Exit day invite after finalised with staff and HR manager.
  • Digital archiving of the leaver’s HR file.
  • Overall digital scanning and/or archiving of current paper files after checking if all info is already in a digital form or just paper.
  • Helping with preparation and proof reading of any HR new procedures/ ADM new procedures.

Admin task

  • Helping with gathering info to complete for any inspection either from external source or Deloitte intern teams, such as ISO compliance …

As both roles involve representing the Firm, personal appearance, politeness, and good manners are essential.
The balance between French speaking clients and English ones is about even, hence the need for fluency in both languages. The same is true for parity within our staff.
Lots of common sense and a “can do” attitude necessary as this will a busy role.
Time management will be essential to both roles.
