Description:

DESCRIPTION

You will have a focus on collecting, structuring, analysing and reporting on HR processes and data, with a core tenet of the role being responsibility for ensuring that all reports are not only accurate and reliable, but also visually appealing and easy to understand. You will also be required to create visually appealing and easy-to-understand data visualisations, as well as generating and maintaing regularly scheduled and ad-hoc reports to provide actionable insights to HR leaders and management. You will define, calculate and clearly explain a wide variety of HR-oriented metrics, such as but not limited to the following specialist subject areas: headcount, attrition, pay and benefits, employee relations, employee engagement and sentiment, sickness, ED&I (equality, diversity and inclusion) and recruitment

QUALIFICATIONS AND TRAINING

CIPD Qualified (Part or full) or relevant experience
Maths & English Level 3

SKILLS AND EXPERTISE

Ability to manage high volume workload in a busy office, maintaining a high level of personal organisation and meeting deadline
Self-motivated and happy working solo and as part of a team
Comfortable communicating with all levels of the organisation, in a professional manner whilst acknowledging confidentiality
Excellent communication skills, both written and verbal
Understanding of Data Protection / GDPR and confidentiality
Ability to identify improvements and make changes based on best practice
Be empathetic with the ability to work cooperatively with others and be an effective team member

EXPERIENCE AND KNOWLEDGE

Experience of working with HR systems and Data Management
Enhanced knowledge and skills in Microsoft Excel
Proficient Outlook, Word and PowerPoint skills
Knowledge of current employment legislation

Responsibilities:

DUTIES AND KEY AREAS OF RESPONSIBILITY

  • Be the first point of contact for data held on the HR Systems, ensuring accurate data is held and distributed in line with GDPR legislation.
  • Provide support in the creation and maintenance on a variety of reports or queries utilising appropriate reporting tools. Assist in the development of standard reports for ongoing business needs.
  • Analyse and interpret workforce information to identify trends, opportunities, and risks
  • To provide support and coordinate all governor reporting for people related data
  • Anaylse and audit paperwork to ensure accuracy of employee data
  • Familiarise yourself with our terms and conditions of employment, in order to answer queries from internal stakeholders.
  • Provide data, reports, KPIs and dashboards to support the HR function and wider business
  • Be the system administrator for the electronic filing
  • Resolving relevant systems related queries internally, building and maintaining a strong relationship with our HR system provider
  • Work on ad hoc projects as directed by the HR Manager
  • Provide support for troubleshooting issues, resolving all queries and quickly escalating any technical issues to our providers that need further investigation
  • Responsible for system administration tasks, including data uploads, data cleansing, data integrity and

GENERAL HR RESPONSIBILITIES

  • Act as a first point of contact for general and external enquiries and requests for information by managers and staff
  • Provide administration support for employment records and changes, ensuring information is process accurately, in accordance with GDPR and in a timely manner. Including (but not limited to) starters, leavers, contracts of employment, personal details and / or employment changes, leave records, bank / causal worker agreements and volunteers.
  • Undertake HR duties with due regard to confidential information and student, staff and College data, in line with Data Protection / GDPR requirements.
  • Provide ad-hoc administrative support to HR colleagues, including diary management, booking appointments, room bookings, filing and correspondence.
  • As part of QAC’s process of continuous improvement; work with the Human Resources Manager and Director of HR to implement any process / administration initiatives to improve the HR Team and Services.
  • Maintain CPD and undertake appropriate training and development as required, including any mandatory and / or refresher training required for the role.
