We are looking for a passionate HR Services Specialist who will be working with Wilhelmsen Ship Management, a comprehensive global maritime group providing over half of the merchant fleet with essential products and services, along with supplying crew and technical management to the largest and most complex vessels ever to sail.

The position will be located at 1 Sentral, Kuala Lumpur and it is easy to get to by public transportation.

Main responsibilities

  • Responsible for all aspects of the recruitment process, including job advertisement posting, selection, interviewing the candidates, providing feedback to the hiring managers on candidates’ role suitability, job offer to the candidate, reference check, preparing letter offer, advising the candidates on pre-employment check-up and other recruitment matters.
  • Ensure proper onboarding, stay interview, exit interview etc. and the necessary paperwork and updates are completed promptly and accurately in HR systems.
  • Participate in campus/university recruitment for employer branding purposes.
  • Assist in reviewing company policies; gathering withholding and other payroll information; explaining and obtaining signatures for benefit programs.
  • Employee/ Industrial relations - Provide necessary advice, recommendation and information to the management/employees in compliance to the employment and local labour laws for the assigned region.
  • Be a Subject Matter Expect for performance management, especially disciplinary and performance improvement matter.
  • To follow up on e-learnings and performance appraisal completion rate within the turn-around time.
  • Coordinate engagement survey processes, assess results, facilitate survey feedback session and provide supports to managers/Head of Departments of business units.
  • Facilitate employee engagement activities such as organizing company events, talk/ conference, townhall, meetings, etc as and when required.
  • Respond to inquiries regarding Human Resource policies and procedures.
  • Be subject matter expert on HR processes and systems, update and maintain employee information into HR system and personal files.
  • Prepare and analyse HR related reports such as recruitment report, Workday report, turnover report and other relevant reports from time to time.
  • Responsible for HRIS system and act as business partner support for HRIS matters for the region.
  • Facilitate employee engagement improvement for workgroups.
  • Attending internal/external audit as and when required.

Participate in Global/ Regional HR Projects as and when required. To undertake other ad-hoc tasks/projects pertaining to human resource functions and administrative duties as and when required

Qualifications

Mandatory requirements

  • Degree in Human Resources Management, Business Studies, Business Management, or any equivalent field.
  • Min 3 years of work experience in HR Shared Services or related HR functions.
  • Well-verse in the Employment Act and Labour Laws with good knowledge of prevailing HR practice.
  • Able to work with all levels of people and a team player who can support others within the team.
  • Able to multi-task and work with minimum supervision & under pressure
  • Good administrative and organizational skills.
  • Good in planning and coordination
  • Strong follow-up skills.
  • Good interpersonal and communication skills
  • Able to keep confidentiality in all HR matters while upholding to organizational values.
  • Possess high level of confidentiality and professionalism.
  • Meticulous, responsible, and strong problem-solving skills.
