Description:

GENERAL DESCRIPTION:

The Human Resource Assistant is a part of the Human Resources department (HR), assisting with recruitment, on boarding, training and administrative needs to support the Capilano Group (CGC); Capilano Suspension Bridge Park (CSBP), Moraine Lake Lodge (MLL), Cathedral Mountain Lodge (CML), Prospect Point Café & Trading Co. (PPC), Stanley Park Pavilion (PAV) and any future acquisitions.
The Human Resource Assistant works with the HR department to support the CGC leadership teams with recruitment, training, and administrative tasks. Through their leadership and motivation, they will promote the principles, core values and vision of Capilano Group.

Recruitment & Selection

  • Support HR Department in co-ordination and execution of all recruitment in conjunction with Supervisors, Managers and General Managers,
  • As directed, update and maintain all job descriptions and job postings for CGC using appropriate recruitment sources (online, social media, universities and colleges, company homepage, recruiting agencies and community-based organizations),
  • Maintain contact with external recruitment sources and ensure job postings are kept up to date, as required,
  • Attend job/career fairs and network with local organizations (ex. BC HRMA and peers) to source for current or future candidates,
  • Collect and phone screen resumes, as directed,
  • Ensure a strong focus on selecting the best candidates based on the job requirements using the CGC Job Descriptions as a reference,
  • Schedule, prepare and set-up for group interview sessions for selected applicants,
  • Ensure all applicants receive a reply after interview sessions,
  • Conduct reference checks

Training and Development

  • Work with Managers and Supervisors to schedule team member orientation sessions,
  • Assist in orientation sessions including preparing paperwork, taking attendance, and setting up room and presentation,
  • Participate in the facilitation of all HR directed training sessions,
  • Assist Managers and Supervisors with the printing of department manuals,
  • Assist with updating the team member handbook, manuals, and job descriptions,
  • Advise Managers and Supervisors on team member attendance and performance during orientation sessions

Responsibilities:

On-Boarding

  • Assist with writing and delivering of employee contracts,
  • Contact successful applicants for sign-ons in partnership with the appropriate Managers and/or Supervisors,
  • Ensure employee file and paperwork is prepared before sign-on (On-Boarding) including name tag and team member handbook,
  • Conduct sign-ons ensuring the new team member fills out and submits all paperwork in its full completion, including printing new ID pass and enrolling in time & attendance system,
  • Enroll all new and returning team members into the payroll system in an accurate and timely manner,
  • Record team member information in excel and file paperwork in a timely manner.

Training and Development

  • Work with Managers and Supervisors to schedule team member orientation sessions,

Performance Reviews and Performance Management

  • Assist the Human Resources Manager with supporting Managers and Supervisors with performance review and performance management process, as required,
  • Exercise an open-door policy to acknowledge team member concerns in a timely manner,
  • Up to date resource for team member inquiries on policies and procedures.

Recognition, Rewards & Engagement

  • Assist in planning and facilitating fun inclusive team member events,
  • Assist CGC team in preparation and delivery of company events, including Opening Night, Friends and Family night, Oscars, Christmas Party, and others. As required,
  • Assist HR Department and Department Managers with team member recognition (i.e.: Christmas Cheer, Tourism Awards, etc.).
  • Create twice yearly team member engagement surveys and prepare data for review,

HR Administration

  • Maintain employee filing system, HR forms and supplies,
  • Prepare and distribute memos and other communications from HR,
  • General administrative duties (ex. filing and sorting paperwork),
  • Perform additional responsibilities, as requested by the HR Manager, HR Coordinator and Ownership.

Health & Safety

  • Promote safety as the first service priority for all Capilano Group,
  • Assist HR Department with any safety-related administrative work,
  • Take reasonable care to protect your own, co-workers and guests’ health and safety,
  • Know and follow all Capilano Group’s health and safety policies and procedures,
  • Ask for further training before taking on any task that you are unsure of or have not been trained on,
  • Attend and participate in JOHS Committee meetings in partnership with HR Manager and HR Coordinator, as required,
  • Cooperate with the JOHS Committee and any person carrying out Occupational Health and Safety duties,
  • Prepare first-aid reports for monthly First-Aid meetings,
  • Attend and participate in monthly first-aid meetings,
  • Use protective clothing, devices and equipment provided and find out what protective equipment is required for each task,
  • Ensure your ability to work without risk to your health and safety or any other person’s safety is not impaired by alcohol, drugs, or other causes,
  • Be alert to hazards and immediately report hazards, defective equipment to your manager.
