SUMMARY JOB STATEMENT:

This position provides clerical support to the Human Resources team by performing administrative tasks to develop and maintain effective and efficient operations of the organization’s HR department. This is a hybrid position based at our corporate headquarters in Indianapolis, Indiana. This position is full time 30-32 hours per week, but hours may increase based on business demands.

EDUCATION:

High School diploma required.

QUALIFICATIONS:

  • 1-2 years of HR administration experience preferred
  • Proficient in Microsoft Office products to include but not limited to: Word, Excel, PowerPoint, Outlook
  • Consistent demonstration of solid professional judgement
  • Must be organized with excellent time management skills and demonstrate exceptional attention to detail
  • Must be capable and willing to maintain high levels of confidentiality at all times
  • Excellent oral/written communication and presentation skills to communicate effectively with all levels of the organization
  • Ability to use forward-thinking approaches in solving problems

Responsibilities:

  • Prepare new hire orientation packets
  • Coordinate new hire training schedules
  • Prepare exit packets, and process exit checklist tasks
  • Schedule monthly staff meetings
  • Prepare staff meeting notes, as well as tracking employee milestone anniversaries and ordering gifts
  • Serve as a proctor for insurance exams
  • Responsible for insurance licensing tracking within HRIS
  • Maintain all electronic employee files, including uploading documents, and reporting within HRIS
  • Responsible for reviewing, approving or declining pending changes within HRIS
  • Responsible for reporting and analytics within HRIS and other portals, including monthly reporting for wellness and bi-weekly deductions report
  • Assist with KYN reporting
  • HealthJoy activation tracking
  • Responsible for sending UMR reports to HealthJoy
  • BatchGeo monthly reporting
  • Building management liaison, responsible for ordering and maintaining building key fobs, garage card maintenance and forwarding building management email communications, as necessary
  • Communicate holiday and office closures via email to all employees
  • Assist with general HR related inquires, including benefit ID card requests, time off requests etc.
  • Complete employment verifications
  • Maintain time off management system, PurelyHR
  • Assist with employee engagement initiatives
  • Maintain Human Resources Hub
  • Post news articles on HR Hub
  • Assist with year-end process, address changes, review tax set up, updating documents including updating holiday schedule, payroll schedule, HSA forms etc.
  • Ensure all HR related documents are up to date with current information
  • Review and purge terminated employee files, as necessary
  • Ensure that all offices have an adequate PPE supplies and place orders, as necessary
  • Troubleshoot inquires related to HR portals and Hubs
  • Assist with HR department strategic goals and initiatives
  • Member of the Philanthropy Committee, responsible for campaign initiatives and communications
  • Assist with corporate events, such as social outings, employee appreciation, annual day of service etc.
  • Serve as the point of contact for our annual corporate United Way campaign
  • Assist with wellness program initiatives
  • Performs other duties as assigned
