EDUCATION AND EXPERIENCE:

  • High school diploma or equivalent education.
  • One year of administrative support experience in human resources.

SKILLS AND COMPETENCIES:

  • Ability to communicate effectively in written and oral form with individuals at all levels of the organization.
  • Ability to handle multiple tasks and priorities, and ability to meet deadlines and to work well under pressure.

Responsibilities:

  • Provide administrative and clerical support to the HR management team.
  • Assist with the day-to-day operations of the Human Resources department.
  • Compile, organize, update and maintain Agency personnel records and documentation in accordance with applicable laws and regulations and HR practices and procedures.
  • File documents in personnel file folders weekly to ensure filing is up to date. Complete the assembly of the personnel file folder with all required documents within 30 days of date of hire. Update employee files as necessary.
  • Ensure the upkeep and cleanliness of the HR file room.
  • Process employee verification requests from internal customers and external agencies.
  • Provide authorized employee information from personnel records as requested by external agencies for file audits, employment security clearance, etc.
  • Answer the telephone, relay messages, and handle routine phone inquiries.
  • Receive and distribute incoming mail; copy and fax related documents as may be required.
  • Serve as back up in the absence of an HR Assistant
  • Assist HR managers with onboarding activities, new employee orientation and HR training activities.
  • In coordination with HR Managers, initiate/process background checks and fingerprinting, and coordinate/schedule appointments for health assessment of new hires, current employees, consultants, and interns.
  • Ensure work authorization documents of all newly hired employees are accurately processed through E-Verify’s web-based employment eligibility verification within three (3) days of hire. Follow-up on pending transactions and notify HR Manager of Tentative Non- Confirmations.
  • Meet with prospective new hires for completion of pre-employment documents prior to hire date.
  • Organize and assist with new hire orientation. Prepare orientation list and orientation materials; set up the training room; order lunch; and prepare employee identification card.
  • Assist with collection of signed documents during new hire orientation. Ensure submission of pending pre-employment documents.
  • Assist HR Managers in entering into, and/or retrieving employee data from the Common Human Resources Information (CHRIS) system.
  • Assist HR management staff with special projects as assigned.
  • Assist Executive Director of Human Resources in random drug testing.
  • Assist in the planning and coordination of department events such as spirituality retreat, employee service awards, Christmas party, etc.
  • Perform other job-related duties as assigned.
