Description:
Objectives
A. To perform administrative tasks and services to support effective and efficient operations of the Cooperative’s Human Resource department.
B. To assist the HR Manager on all personnel matters as needed to insure compliance with all federal and state regulations.
C. To know and understand the purposes, policies and procedures of the Cooperative in order to provide accurate information to all employees as well as to the general public.
II. Reporting Relationships
A. Reports to Human Resources Manager.
B. Directs none.
III. Responsibilities and Authorities
A. Maintain accurate and up-to-date human resource records, files and documentation with integrity and confidentiality.
B. Assist with job postings, applicant tracking and scheduling interviews.
C. Conducts or assists with new hire orientation and onboarding processes.
D. Answers frequently asked questions from applicants and employees relative to standard policies and refers more complex questions to appropriate HR staff or management.
E. Assist department heads with requests which are personnel related.
F. Work with other Cooperatives in completing salary and benefit surveys or other information shared among Cooperatives.
G. Performs other duties as directed or assigned by the Human Resources Manager, Chief Operating Officer and President/CEO.
IV. Relationships
A. Internal
1. Human Resources Manager, Chief Operating Officer and President/CEO: To request and provide assistance as required, to confer on problems, to seek necessary approval and to inform of departmental and cooperative policies and procedures and to discuss any unusual problems affecting the job.
2. Benefits Administrator: To provide assistance as needed to carry out personnel and benefits operations.
3. All Cooperative personnel: To provide assistance and information between the department and other employees.
B. External
1. Members: To courteously and accurately answer member inquiries or to direct them to the appropriate person and to make every effort to gain their increased understanding and acceptance of the Cooperative’s plans, programs and policies.
2. General Public: To courteously and accurately answer inquiries and to improve public relations and maintain high acceptance of the Cooperative.
3. Third Party Administrators: To communicate with group health plan providers, general liability providers and worker’s compensation administrators to process all claims.
V. Wage and Salary Information
This position is an hourly rated non-exempt position under the Wage and Hour law and overtime compensation must be paid.
EDUCATION
High school graduate required. Associate degree from an accredited school of business, two-year college, or technical institute is desirable.
EXPERIENCE
At least two years of related office experience required and personnel administration experience preferred.
JOB KNOWLEDGE
Must have a general knowledge of administrative duties such as communications, data entry and record keeping. Must possess an understanding of all Cooperative policies, with special emphasis on those related to personnel issues.
ABILITIES AND SKILLS
Must be computer proficient and have a thorough knowledge of office procedures. Excellent communication and organization skills are required. Tact and professionalism when handling confidential information and addressing employee concerns is required. Must have the ability to understand, evaluate and make judgement when needed.
