JOB SUMMARY
The Faculty of Computer Science (FCS) offers degrees tailored to match individual interests in a high-tech discipline at the forefront of innovation. Staff work with faculty members to help build a foundation for student success as students prepare, through academics and research, for a career in one of the world’s hottest growth industries. Reporting to the Human Resources Advisor, the Human Resources Coordinator will provide administrative support to the Faculty’s Human Resources Advisor as it pertains to full-time faculty and staff hiring, academic HR processes, and part-time employee administration.
REQUIRED QUALIFICATIONS
- Diploma in business/office administration or human resources plus approximately three to five years related work experience.
- Strong interpersonal and communication (verbal and written) skills including the ability to handle sensitive and confidential issues with diplomacy and professionalism.
- Excellent attention to detail and organizational skills with the ability to work independently in a busy environment with multiple interruptions and shifting demands and workflow.
- Demonstrated proficiency in Microsoft Office, including Outlook, Excel, Word.
Responsibilities:
- Provide administrative support for faculty and staff search processes. Create search timelines; schedule meeting; prepare recruitment documents and templates; as appropriate complete preliminary candidate screening; and assist with onboarding processes.
- Act as primary administrative resource for tenure and promotion, reappointment, and sabbatical and education leave. Answer queries regarding policies and procedures. Monitor adherence to deadlines. Prepare payroll forms. Draft letters and correspondence for the Dean.
- Support the sessional instructor hiring process each term. Draft offer letters, prepare payroll forms, and answer general inquiries. Ensure sessional instructors are onboarded efficiently and have the necessary information to facilitate their courses.
- Assist with the hiring process for teaching assistants and markers. Triage emails and forward for reply. Ensure all necessary payroll forms are submitted accurately and on time. Check monthly payroll runs and advise Faculty payroll staff of issues. Track deadlines and deliverables.
- Act as key contact for the hiring of grant paid and temporary employees. Answer general inquiries. Prepare payroll paperwork. Ensure a smooth onboarding and create a record keeping process to ensure the Faculty has an accurate list of all grant paid and temporary employees.
- Provide other general administrative support for human resources functions within the Faculty including managing data and personnel files, answering general inquiries from a HR, Payroll and Finance email inbox, and assisting with special projects as they arise.
