Description:

HR Coordinator
The HR Coordinator is a key member of the Human Resources team, responsible for supporting various HR functions to ensure the smooth operation of the department and the overall employee experience. This role involves collaborating with different stakeholders to execute HR initiatives, managing administrative tasks, and providing support across the employee lifecycle.
Key Responsibilities

Employee Experience:

  • Advocate for an exceptional employee experience within the organization, promoting a positive work environment and culture.
  • Coordinate and facilitate the onboarding and offboarding processes for new hires and departing employees, ensuring a seamless transition.
  • Identify opportunities for improving employee experience and recommend solutions to HR Business Partners and management.
  • Develop and maintain new hire orientation materials and deliver weekly orientation sessions to ensure alignment with organizational values and goals.
  • Collaborate with the Organizational Development team to create and administer training courses and campaigns.

Operational Excellence:

  • Manage various HR administrative tasks using Teranet’s HRIS system, Workday, including updating employee records, processing changes in employment status, and maintaining accurate documentation.
  • Prepare employment letters, offer letters, and other HR-related correspondence as needed.
  • Monitor and track contingent worker permits, collaborating with Legal and Procurement teams to ensure compliance.
  • Utilize electronic signature platforms (e.g., DocuSign) for efficient document management and processing.
  • Support the employee lifecycle processes, including contracting, onboarding, terminations, and performance management.
  • Analyze HR data and generate regular reports to support decision-making and identify trends or areas for improvement.
  • Collaborate with HR colleagues to share knowledge, best practices, and ensure consistency in HR processes and procedures.

Other Initiatives:

  • Provide ad hoc and occasional support to HR Business Partners and Centers of Excellence during M&A activities.
  • Assist in the administration of health and safety programs, including coordinating training sessions and maintaining compliance records.
  • Provide labour relations administrative support to HR Business Partners if/where required.
  • Assist in the preparation for internal and external audits by organizing and providing necessary information and documentation.

Qualifications:

  • Bachelor’s degree in human resources management, Business Administration, or related field.
  • Previous experience in an HR Coordinator or similar role preferred.
  • Proficiency in HRIS systems; Workday an asset.
  • Strong attention to detail and organizational skills, with the ability to manage multiple tasks and deadlines simultaneously.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with employees at all levels of the organization.
  • Proven ability to maintain confidentiality and handle sensitive information with discretion.
  • Knowledge of employment laws, regulations, and best practices.
  • Ability to work independently as well as collaboratively within a team environment.
  • Strong problem-solving and analytical skills, with the ability to think critically and propose innovative solutions.
