EDUCATION/CERTIFICATIONS:

  • A bachelor’s degree in human resource management, public administration, or a related field and at least two years of clerical experience in a professional office setting, preferably related to HR or payroll, or an equivalent combination of education and experience is required.
  • Able to type 45 wpm.
  • Proficient in Microsoft Suite, Teams, and SharePoint is required.
  • Communicate verbally and in writing effectively with supervisors, employees, and the public.
  • Mastery of the English language, including the ability to edit and ensure grammatical correctness of written materials in English.
  • Knowledge of Paycom is strongly preferred.
  • Valid CA Driver’s License with a minimum of two (2) years of good driving history and must be approved by the agency’s insurance carrier to drive agency vehicles.

Responsibilities:

The primary purpose of this position is to perform various professional administrative and clerical duties directly related to human resource activities.

  • Accurately maintains employee databases and personnel files. Ensures updates to the database and file documents by the end of each Friday.
  • Prepares and submits job openings to identified recruitment networks. Ensures the job postings are refreshed or updated regularly.
  • Assists employees with the benefits enrollment process and monitors completion within timeframes.
  • Explains company personnel policies, benefits, and procedures to employees or job applicants.
  • Provides accurate information to supervisors, coworkers, and people outside the organization by telephone, in written form, email, or in person.
  • Creates shadow files for outer offices to comply with CCL rules and regulations.
  • Coordinates with external offices to ensure appropriate updates are completed.
  • Processes employee terminations, ensuring proper documentation in the personnel file.
  • Provides weekly status updates regarding new hires, terminations, and other employee changes to management and key stakeholders.
  • Performs new hire orientations by reviewing all benefits and agency policies.
