Description:
POSITION SUMMARY:
Part-time temporary HR File Clerk position available at our Seattle corporate office. The HR File Clerk is responsible for all aspects of the maintenance and organization of all employee files. The individual in this position will also perform general office tasks to assist the human resources team and ensure clean, efficient flow of paperwork through the HR offices. Attention to detail is a must.
In addition to filing responsibilities, the HR File Clerk assists generalists with file audits for compliance purposes, performs basic data entry into HRIS, creates and prints employee badges, and performs general office clerical and customer service duties. This is an entry-level position.
QUALIFICATIONS:
- High School diploma or equivalent required.
- Must have high ethical standards, confidentiality and cultural competence.
- General computer skills are required and experience with basic Microsoft Office applications, SharePoint and HRIS applications are a plus.
- Detail-oriented and organizational required.
- Must have a valid WA State driver’s license.
- Bilingual English/Spanish is a plus.
Responsibilities:
- Responsible for the creation and maintenance of all personnel files, both active and inactive. This includes, but is not limited to: creation of physical file for new hires, filing of incoming paperwork into appropriate sections of the file for easy of identification, appropriate removal of terminated employee files, annual preparation of inactive employee files for archival.
- Performs HRIS and SharePoint data entry including, but not limited to: new hire documentationentry, training and compliance documentation.
- Provides clerical and operational support including, but not limited to running background checkverifications and following up with managers regarding missing or incomplete paperwork.
- Works on the collection and reporting in HRIS of compliance-related personnel documents such asorientation and training paperwork, annual staff appraisals, probationary and annual competencytests, CPR certifications, etc.
- Monitors and maintains HR email inbox.
- Assists with regular file audits for compliance purposes. Follows up with management staff as needed for file completeness.
- Performs general office clerical duties such as basic data entry into the HRIS system, answeringphones, preparing materials for new employee orientation, and opening and distributing mail.
- Creates and prints employee badges.
- Maintains inventory of basic office supplies for personnel file management and general use of human resources department.
- Interacts with and supplies information to employees, management staff, and public and privateagencies as appropriate and within Sea Mar policy and legal guidelines.
- Maintains high standards of confidentiality of all employee records and information.
- Serve as back-up for certain HR Generalist tasks as needed.
- Other duties as assigned.
