POSITION SUMMARY:

The Office and HR Administrative Assistant will be a key asset to the IND HEMP team. While reporting to the Manager, Human Resources, this position will assist all levels of employees in the organization and the HR department to ensure efficient operation of the office and Human Resource functions.

JOB REQUIREMENTS:

  • Highschool diploma or equivalent required
  • Associate degree preferred
  • Ability to understand and practice confidentiality
  • Experience in Human Resources a plus
  • Excellent organizational skills and attention to detail
  • Minimum of 2 years’ experience in an office setting
  • Proficient in Microsoft Office (Excel, Word)
  • Experience with DocuSign
  • Excellent written and verbal communication skills
  • Ability to interact with internal and external customers
  • Customer service focused

Responsibilities:

  • Provides administrative support to ensure efficient operation of office and Human Resources
  • Answer phone calls, schedule meetings, appointments, support internal departments and visitors
  • Carries out administrative duties such as filing, typing, copying, binding, scanning etc
  • Exhibits polite and professional communication via phone, e-mail, and mail
  • Supports team by performing tasks related to organization
  • Maintains office and cleaning supply inventory by checking stock to determine inventory level, anticipating needed supplies and placing orders for supplies
  • Contributes to team effort by accomplishing related results as needed
  • Work with sales, operations, and quality teams to coordinate and send out samples to customers
  • Document, follow up and track samples sent out
  • Assist in updating policies and procedures as needed
  • Assist Agronomy department in entering contracts and track contact information
  • Pick up and distribute mail
  • Update information in quality and accounting systems and other systems of record
  • Training tracking, coordination and follow up
  • Conduct File audits (personnel, training, etc..)
  • Assist human resources to ensure compliance with applicable postings at each location
  • Assists with recruitment and interview process. Tracks status of candidates in HRIS and responds with follow-up letters at the end of the recruiting process.
  • Schedules meetings and interviews as requested by the HR Manager or hiring manager.
  • Prepare for new employees (onboarding, new hire materials, computer assignment, etc…)
  • Assist with company events as needed.
