Description:
JOB SUMMARY:
The ICT Office Assistant will provide essential support to the ICT departments. This role will maintain efficient operations and ensure smooth communication. The ideal candidate is creative, detail-oriented, adept at multitasking, and possesses excellent organization.
QUALIFICATIONS:
- Persons of First Nations ancestry will be given preference (OHRC, Part II, Special Employment)
- Ability to communicate in one of the First Nations dialects in the Sioux Lookout Zone is an asset.
- Post-Secondary degree or equivalent work experience in corporate communications, or information technology is an asset.
- 1 year’s relevant work experience.
- Exceptional knowledge of word-processing, spreadsheet, and other advanced computer skills.
- Technical skills to enhance: Website and social media content.
- Experience working with Adobe InDesign, Adobe Illustrator and Adobe Photoshop is an asset.
- Skills in photography, videography, editing, and graphic design are assets.
- Good organization and time-management skills and ability to prioritize multiple tasks to meet strict deadlines.
- Highly motivated and ability to work in a demanding and fast-paced work environment.
- Strong communication and writing skills.
- Basic understanding of IT equipment and technology to effectively track and manage IT assets.
- Must have knowledge of First Nations’ people, history, culture, health priorities and social issues as it pertains to SLFNHA geographical catchment area.
- Must be willing and able to travel.
- Ability to complete the duties of the position on a regular basis.
Responsibilities:
- Provide administrative support to the ICT team such as filing, completing correspondence, responding to public emails, drafting responses, letters etc.
- Assist in organizing and coordinating ICT programs, meetings, and events.
- Maintain documentation related to ICT projects, including project plans, progress reports, and meeting minutes.
- Support the various ICT departments with projects and initiatives.
- Handle correspondence and communication related to ICT programs.
- Assist in organizing training sessions and workshops for employees.
- Communications Responsibilities
- Assist in the planning and execution of events, including press conferences, product launches, and promotional activities.
- Coordinate logistics, manage guest lists, and provide on-site support during events.
- Contribute to the management of social media accounts by creating and scheduling posts, engaging with followers, and monitoring trends.
- Assist in the development and execution of digital marketing campaigns.
- Assist Communications Officer with setup of audio and video equipment during meetings and conferences.
- Maintain organized files and databases of media contacts, content, and communications materials.
- Assist in creating visually appealing materials using design tools and software.
- IT Specific Responsibilities
- Assist helpdesk to keep accurate records of all IT assets, including hardware, software, and other equipment.
- Assist in the receiving and documentation of new equipment.
- Manage the retirement or disposal process for outdated or non-functional equipment.
- Work closely with other IT teams, such as helpdesk and support, to coordinate equipment deployment, maintenance, and troubleshooting.
- Other duties as required.
