JOB SUMMARY
Supervised by both the Department Chair and the Administrative Services Manager, serves as Department Assistant for an office of 7 tenured/tenure-track faculty and 6 lecturers; serves as one of the primary resources for information regarding Department policy and practice for faculty, students, and staff; maintains Department files and records; providing continuity in policy and procedure; and processes all assignments, deadline, and paperwork required.
KNOWLEDGE SKILLS AND ABILITIES
Ability to establish and maintain good working relationships with a variety of people-faculty, staff, students, and vendors. Working knowledge of office methods, procedures, and practices relating to an academic environment. Ability to perform clerical work involving judgment, accuracy, and speed. Working knowledge of Windows, Word, e-mail, spreadsheet, databases, webpages, and CMS. Excellent written and oral communication skills.
Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student, and assist in achieving the university’s commitment to a “vision of excellence.”
EDUCATION AND EXPERIENCE
- Equivalent to three years of administrative support experience required.
- Bachelor’s degree preferred.
- Academic department or program experience preferred.
PHYSICAL SUMMARY
- Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).
Responsibilities:
- Receives visitors and answers telephone calls, and email for the International Studies and Global Studies Institute (GSI). Provides information as appropriate directs inquires. Maintains appearance of offices and posted materials.
- Types and reproduces instructional materials, correspondence, key issue requests and forms.
- Serves as department mail clerk and maintain office and photocopier supplies.
- Completes Dept Chair projects with supervision.
