Description:

SUMMARY:

Our client is currently looking to expand their team and have an opportunity of an Administrator (AC245) for their trademark team. You will be providing support on the client’s applications and cases. The ideal candidate needs to have a professional background (ideally as a legal assistant or similar) of a minimum of 3 years in administration with fluency in English and French. The company will offer full training on the software used as well as on the topics they take care of if you are committed and willing to take on this great challenge.
Your role:
Drafting and disseminating correspondence, text, and other written materials, ensuring comprehensive documentation within the firm’s Document Management System.
Creating cases utilizing the firm’s database and Go Digital workflows, managing deadlines by adding and removing them as necessary.
Handling the filing of trademark applications and managing post-filing formalities, including recording Work In Progress (WIP) and generating invoices.
Acquiring necessary documentation for the preparation and filing of forms for various Trademark applications and oppositions, such as powers of attorney, and coordinating any required legalization processes.
Scanning and distributing documents via email, courier, or post.
Generating reports on client trademark portfolios.
Collaborating with Intellectual Property Office (IPO) offices.
Updating the firm’s database with relevant changes, including deadline extensions, contact detail alterations, and the transfer or abandonment of Trademarks as directed by attorneys.
Managing records such as assignments, changes of name, seniority adjustments, and renewals, including completing online forms and preparing basic documents.
Handling Trademark registration certificates, publications, and other notices, while communicating with partners, fellow Trade Mark attorneys, clients, foreign Trade Mark attorneys, and IPOs.
Recording and managing all takeover cases.
Your profile:
Previous administrative experience in legal or services departments.
Intellectual Property experience will be a great plus.
Very good interpersonal and communication skills.
Be able to work within a team as well as autonomously.
Excellent eye for detail, able to handle and manage volume of work.
Fluency in English and French.
