TECHNICAL KNOWLEDGE, PROFESSIONAL QUALIFICATIONS AND EXPERIENCE

The successful candidate will have:

  • Previous administrative and/or legal secretarial experience
  • Good IT skills (Microsoft Office)
  • Good level of both verbal and written English
  • IP experience including knowledge of third party data management tools (desirable)
  • Billing experience is desirable
  • Experience working in a paperless environment is preferred but not essential

Responsibilities:

ROLE PURPOSE

Under the supervision of the Records and Systems Manager, the IP Administrator will be responsible for providing assistance with case management, including recording events, sending out appropriate reminders and ensuring that case record information is up-to-date, and appropriate charges have been made.

PRINCIPAL RESPONSIBILITIES

  • Use case management system and related applications (DMS, Portal, Outlook etc)
  • To check information/communications received, and update database systems with new due dates, events and changes in the status of cases
  • To monitor upcoming deadlines and liaise with attorneys accordingly
  • Process office actions, publications and grant certificates
  • Manage monthly final reminder listings from CPA for patents and designs
  • Liaise with CPA to resolve queries
  • Provide assistance with Takeover work
  • Manage renewal notices from IP offices and foreign associates
  • To create reminder letters to foreign associates and Government bodies as required
  • To create and send out appropriate standard letters and forms
  • To attend to payment of required fees
  • To generate basic client invoices
