Polsinelli, PC seeks a candidate to fill a Legal Administrative Assistant (Legal Secretary) position in their Raleigh office supporting members of the health care practice group.

The selected candidate will be responsible for a broad variety of administrative task and projects for multiple attorneys to include:

  • Preparing, editing, and formatting of correspondence
  • Processing and tracking opening of conflict checks/new matters
  • Revising correspondence, engagement letters, memos for client-related matters
  • Calendaring of meetings and appointments and reminding attorneys of their schedules in advance
  • Coordinating conference calls/meetings with multiple attorneys and clients
  • Coordinating complex travel plans and processing expense reports
  • Entering time entries into billing system and working closely with billing staff
  • Processing attorney expense reports
  • Processing incoming and outgoing mail
  • Ensure conference rooms, reception area, kitchen and other common areas of office are consistently clean and organized and restocked with supplies

Qualified candidates must meet the following requirements:

  • Minimum 3 years relevant experience as an administrative assistant in business or legal setting
  • Familiarity with court filing requirements and have experience assisting with NC state and federal filings including e-filing
  • Must be able to work in a fast-paced environment
  • Must be comfortable acting as an executive assistant dealing with confidential matters

Qualified candidates must possess strong initiative, demonstrating an ability to resolve issues/problems independently, have strong organizational skills, be able to work independently as well as in a team setting and have the ability to manage multiple projects/tasks at a time. Other essential requirements for this position include the ability to communicate verbally and in writing in a professional manner to develop rapport with clients; exhibit meticulous attention to detail; and possess strong proofreading and typing skills. Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) is required. Proficiency in setting up conference calls including video conferences (i.e., Zoom or MS Teams) is required.
