REQUIRED KNOWLEDGE AND EXPERIENCE

  • Completion of a post-secondary Legal Assistant or Law Clerk program
  • 1-2 years’ working experience (large firm experience) in Corporate Services is preferred
  • In-depth understanding of business and legal terminology
  • Strong technical skills using Microsoft Office 365
  • Experience working with Elite 3E, Intapp, iManage, Case Centre, JSO portal, and DocuSign considered an asset

Responsibilities:

YOUR ROLE

The successful candidate will independently manage the daily activities of up to five (5) legal professionals in the Corporate Services team. The role has a dual reporting relationship with the legal professionals in the share and the Manager, Legal Assistant Services.
Hours of work are from 9 am to 5 pm. Occasional pre-authorized overtime may be required to meet client needs. This is a hybrid position.

PRIMARY RESPONSIBILITIES

  • Handling all administrative duties such as email and calendar management, drafting letters, coordinating meetings, processing invoices and expenses, among others
  • Preparing and maintaining a bring-forward system, as well as providing appropriate reminders
  • Preparing initial drafts of routine documents based on precedents, instructions, revisions, comparisons, track changes, and database entry, under the supervision of a legal professional
  • Entering basic corporate data in corporate services database
  • Ensuring all physical and electronic filing is organized and updated on a regular basis
  • Delegating tasks to, and coordinating with, other administrative departments
  • Providing backup coverage in the absence of other assistants
  • Other projects and duties, as assigned
