Description:

JOB OVERVIEW:

The Logistics Coordinator will provide oversight and support to the EMS operations, ensuring that the staff has supplies and equipment needed to meet operational requirements and service commitment. The Logistics Coordinator is responsible for managing the transportation and logistics of supplies and equipment from point of origin to delivery, ensuring customer satisfaction and on-time delivery. This position will be responsible for coordinating with suppliers, carriers, and customers to plan and execute shipments, manage inventory levels, and promote efficient transportation activities to align with budgeted targets.
The Logistics Coordinator will support and partner with key stakeholders and vendors to uphold fleet maintenance for all vehicles used throughout the Mobile Health and EMS operations. Responsibilities include upkeep of preventative maintenance schedules for vehicles, coordination of repairs, and aligning stakeholders/vendors on the equipment installation and preparation of new vehicles added to the fleet.

QUALIFICATIONS:

Required:

  • HS Diploma
  • 2-3 years of experience in logistics or supply chain field
  • Must be 18 years of age with a current driver s license that meets company requirements for vehicle insurance

Preferred:

  • Bachelor s Degree in Logistics, Supply Chain, Business Administration, or related field
  • 3- 5 years of supervisory experience in the logistics or supply chain field with customer service experience

Responsibilities:

ESSENTIAL FUNCTIONS:

  • Consistently demonstrate and support Mobile Health s mission, vision, core values and department service standards.
  • Communicate with all staff with empathy and respect to ensure and maintain a high level of professionalism and employee satisfaction.
  • Develop and maintain constructive working relationships with management, personnel, staff members and stakeholders to promote cooperation, employee satisfaction, and customer service.
  • Demonstrate willingness to acquire baseline knowledge of Mobile Health policies and procedures along with applicable State and Federal statutes related to emergency medical services.
  • Conform to applicable NJ State, OSHA, and other regulatory requirements.
  • Responsible for overall inventory management of supplies requirement for the Mobile Health division. Supplies may include, but are not limited to, vehicle parts, IV, medical surgical and storeroom supplies, all equipment, oxygen, uniforms, office supplies, and biomedical equipment.
  • Responsible for maintaining vendor relationships which may include, but are not limited to, initiating quote requests, facilitating purchase orders, entry of vendor profiles into purchasing and billing systems, and providing support on contract renewal process.
  • Reconcile and provide payment requests for all applicable invoices.
  • Ensures collaboration with the Corporate Purchasing and Accounts Payable departments maintain up-to-date status for vendor accounts.
  • Take appropriate measures to work within established budgets for Mobile Health.
  • Establish and maintain oversight of system-wide par levels for all supplies within Mobile Health storage facilities, offices, and EMS stations
  • Establish distribution workflow of supplies, uniforms, and other equipment to support the requirements of the Mobile Health operations
  • Manage rotation of dated supplies based on expiry dates, best if used by dates, or FIFO (First In, First Out) logic.
  • Facilitate vendor warranty and disposal process for supplies and equipment, where applicable
  • Record, prepare, and maintain reports on activities such as fleet maintenance status reports, shipping and transportation updates, delivery schedules, and inventory levels using relevant applications and software
  • Develop and implement logistic plans and procedures to ensure the efficient flow of goods throughout the supply chain
  • Track and report inventory and shipment status for deliveries to Mobile Health facilities and resolve any issues that arise during transit
  • Participate in the development and implementation of new logistics initiatives and processes that promote greater operational efficiencies and reduction in costs
  • Coordinate shipments with suppliers, carriers, and customers to ensure on-time delivery and customer satisfaction
  • Schedule and coordinate repairs and maintenance of department vehicles
  • Take a proactive approach in managing preventative maintenance schedule for vehicles and other equipment to optimize utilization
  • Ensure all department vehicles have proper registration and insurance documentation
  • Must be willing to travel across the various Mobile Health locations
