Programmed’s Facility Management department are currently seeking a Maintenance Administrator to join our Melbourne Water Maintenance team. This is an excellent opportunity to be a part of a high performing team that s responsible for the processing of maintenance work, reporting and analysis of asset data captured in Programmed Facility Management’s Maximo asset management system.

Responsibilities:

KEY RESPONSIBILITIES

  • Administration of routine maintenance work orders and defects via maintenance management system
  • Issuing proposals for work to clients via quotation process
  • Creation and issue of purchase orders to Sub-contractors
  • Validation of service reports versus invoicing claim to ensure accurate payments
  • Ensures appropriate financial controls are in place with relevant FM contracts
  • Monitors performance of “work in progress” against agreed service levels
  • Receiving and responding to queries from Customers, both internally and externally
  • Identifies hazards in the workplace and implement corrective action

To be successful in this role, ideally you will have previous admin experience within Facilities Miantenance with excellent communication and Microsoft office skills. Additionally, you will demonstrate and possess the following:

  • Data analysis and reporting skills.
  • Experience with either Maximo, SAP or Pronto is desirable
  • Exceptional communication skills, both verbal and written
  • Strong focus on safety in the work place
  • Time management skills with the ability to work under pressure
  • Proactive and self-motivated and able to work without supervisio
