You are the pivotal point of contact for staff, PhD students, and external parties of the department. You perform your tasks under the responsibility departmental management team. You provide support in the department’s field by drawing up (parts of) draft reports for management information and taking care of partial administration. Based on broad instructions and in conjunction with staff services, you draw up and manage (financial) business administration, prepare budgets, contribute to the preparation of project/department reports and monitor their progress. You arrange meetings/events, support the preparation of programmes, take minutes and monitor deadlines.
Besides this, you will also handle incoming and outgoing correspondence (such as letters memos, reports and emails), website maintenance, and social media outreach. You will support the hiring and introduction of new department members and international visitors. You will book travel for the department and order laptops and other computing infrastructure. You will maintain email distribution lists and room allocation and support the organisation of social events. You will establish priorities for the department, schedule appointments with people inside and outside the department, and support the implementation of communication activities.
