Description:
- Understand the Health, Safety, Environmental Protection and Quality Policy, and the responsibilities under the Environmental Management System (EMS)
- Report any environmental noncompliance and/or concern to their manager or members of the senior management team (including the highest level of management) either directly or through the open reporting system as per Management System guidelines
- Consult with vessels and operations management to resolve Marine Services issues.
- Administer and assist in the preparation of all documentation related to new vessel delivery.
- Support management system documentation.
- Respond to enquiries and issues; exercise sound judgment where necessary and escalates issues to managers where appropriate.
- Maintain current information and support in the production of new and existing KPIs (Key Performance Indicators)
- Assist with the close out of non-conformities, ensures necessary audits are conducted and supports the team on related activities.
- Demonstrate diligence and sound documentation management skills with respect to the Safety Management System (SMS), quality system and other systems documents.
- Coordinates office calendar, including sending and accepting electronic invitations, reminders, and preparation for scheduled events.
- Provide occasional reception relief, collaborates effectively with other assistants, maintains department contact information and posts department information to the intranet
- Perform other duties as required
REQUIREMENTS
- Experience in a shipping or marine company either on shore or at sea; understanding of the business and terminology is required.
- Able to work under pressure in a fast-paced environment.
- Proficiency with Microsoft Office Suite(including Outlook, Word, and Excel)
- Strong attention to details
- Strong verbal and written communication skills, and proficient writing style
- Understand flag administration, documentary management systems, spill response activity reports, insurance claims handling, crew management, etc.
- Experience with ISO management systems
