Northland Properties is looking for an experienced Marketing Administrative Assistant to join its growing Marketing team. The ideal candidate will be responsible for the high-volume, day-to-day assistance and administration duties within the Marketing Department with a focus on basic accounting practices. We are looking for a responsible, process-orientated individual with strong and timely communication skills to fill this exciting role.
This role will be the glue between our vendors and our Accounts Payable team to ensure invoices are processed and payments are received in a timely manner, in addition to other administrative marketing-related activities as needed.

REQUIREMENTS:

  • Coordination of workflows with various Marketing operations teams (Moxies, Denny’s, Shark, Chop restaurants and Sandman Hotels), also following up with Northland AP/AR Teams to ensure we are delivering efficient resolutions to operational issues.
  • Working well with others and demonstrating excellent organizational and time management skills, with the ability to also set priorities for self, and thriving in a fast-paced dynamic environment with tight deadlines.
  • Preparing debit notes using basic accounting (GL coding and budgets), and managing the workflow of marketing invoices, vendor queries, and expense reports in a timely manner.
  • Communicating with stakeholders and attending internal meetings as needed, using superior written and oral communication skills, to provide a good service delivery.
  • Consistently using sound judgment to recognize and handle confidential information ethical, professional, and discreet manner.
  • Providing assistance for the maintenance of a comprehensive and organized filing system and compiling data for various reports and documents, also streamlining processes/procedures, being creative, and an inventive thinker and problem-solver.
  • Other tasks as needed.

APPLICABLE SKILLS:

  • Candidate will ideally have 1-2 years of marketing & administrative experience
  • University or college education is preferred
  • Must demonstrate project management/execution experience
  • Familiarity with basic Accounting principles: GL coding and budgets
  • Creative, inventive thinker and problem-solver with a ‘can do’ and ‘will do’ attitude.
  • Ability to coordinate workflows with various operations teams
  • Self-starter, motivated, works well with others, and has a desire to grow with our company.
  • Excellent organizational and time management skills, with the ability to set priorities for self
  • Proficient with Microsoft Windows (Word, Excel, PowerPoint, Adobe Acrobat, Outlook)
  • Hospitality background an asset, but not required.
  • Superior written and oral communication skills
  • Ability to thrive in a fast-paced, dynamic environment
  • Ability to work effectively under pressure and with tight deadlines

Responsibilities:

The ideal candidate should be a multi-tasker with an upbeat attitude and should have the ability to effectively communicate via phone and email ensuring that the duties are completed accurately and delivered with high quality and in a timely manner.
The position will be located at our Support Centre in Vancouver and will be hybrid (three days in the office).
In the position of Marketing Administrator, your job duties will include:
