LEXICON MARKETING ADMINISTRATOR

The Lexicon Marketing Administrator is responsible for providing support to the marketing team by assisting in various administrative tasks, including scheduling, inventory management, and project coordination. Responsibilities may include organizing promotional materials, coordinating events, vendor management, and assisting with the execution of marketing campaigns. This position requires strong organizational skills, tenacity, and attention to detail.

QUALIFICATIONS

  • Strong organizational skills - Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Excellent communication skills - Both written and verbal communication skills are essential for interacting with team members, clients, and stakeholders.
  • Experience with marketing tools such as CRM systems, email marketing platforms, and social media management tools.
  • Attention to detail - Precision is crucial in tasks like data entry, proofreading, and maintaining databases.
  • A team player with the ability to collaborate with cross-functional teams and contribute to a positive work environment.
  • 1-2 years of previous experience in marketing or administrative roles
  • Degree in marketing, business administration, communications, or a related field.
  • Tenacity - pushing projects or tasks to completion to achieve results.
  • Familiarity with graphic design software like Adobe Creative Suite can be beneficial for creating marketing materials is a plus not required

Responsibilities:

  • Data Management using CRM - Maintain and update customer databases, mailing lists, and contact information. Ensure data accuracy and integrity.
  • Documentation: Prepare and format marketing materials, presentations, reports, and correspondence. Organize and maintain marketing documents, files, and records.
  • Communications: Assist in drafting and proofreading marketing materials, including email campaigns, social media posts, and website content. Respond to inquiries and communications from customers, partners, and stakeholders.
  • Inventory Management: Track inventory of marketing materials such as brochures, promotional items, and merchandise. Coordinate with individual offices and order supplies and materials as needed.
  • Event Support: Provide logistical support for marketing events and company meetings. This may include arranging shipments, email communication, and managing registrations.
  • Digital Asset Management: Organize and maintain digital assets such as images, logos, and videos. Ensure proper tagging, categorization, and accessibility.
  • Vendor Management: Liaise with external vendors and service providers, such as printers, designers, and advertising agencies. Obtain quotes, process invoices, and ensure timely delivery of services.
  • Budget Tracking: Assist in monitoring and tracking marketing budgets and expenses. Prepare expense reports and reconcile invoices.
  • Cross-functional Collaboration: Collaborate with other departments such as Communications, HR, recruiting, etc. to ensure alignment and coordination of marketing efforts.
  • Administrative Support: This includes but is not limited to answering phones/media inquiries, Data filing, handling multiple email inboxes, and scheduling meetings, appointments, and events for the marketing team. Coordinate travel arrangements and accommodation as needed.
  • Public Relations – Handle awards for the client. This includes but is not limited to Super Lawyers, Rising Stars, and “Best Of” awards and nominations.
