Description:

The UCLA Mildred E. Mathias Botanical Garden seeks a marketing specialist to provide communication, marketing, and administrative support for venue rentals, public outreach, and other activities of the Garden and affiliated Herbarium. The Garden Administrative Officer will supervise this position. This position is a full-time (40 hours per week), on-site position with core schedule of Tuesday through Saturday with flexible hours to allow attendance at scheduled events on weekends and evenings.
The incumbent is to implement marketing and communication strategies to promote venue rentals, public events, and profile of the Botanical Garden and the Herbarium, which include marketing, updating websites, and promoting public events and Garden through social media and other platforms. Other responsibilities include preparing monthly newsletters with input from Director and Manager of Garden Outreach and Education, and assisting in the membership program with the Garden Administrative Officer.
The incumbent also coordinates use of Garden venues. Responsibilities include meeting prospective renters to show them available spaces in the Garden, maintaining a physical presence during rentals and events, and corresponding with renters to provide logistical information, access, and responses to queries. The incumbent is to perform all the administrative duties relating to Garden rentals (sales and service), such as scheduling, booking and billing rentals, setting up and breaking down events (such as, moving chairs and tables, and setting up AV equipment) and handling of the Recharge Order Request (ROR)/checks for payments as well as any Facilities Service Requests (FSRs).
Incumbent will support projects and programs related to the Herbarium, as requested by Garden Director or Herbarium Curator, and also manage and maintain the websites for the Garden and Herbarium. The incumbent is directly supervised by the Garden Administrative Officer, and work closely with Director and Manager of Garden Outreach and Education. The incumbent is also assigned work duties, takes direction, and works with the Garden Director when needed.

QUALIFICATIONS

  • Excellent communication and customer service skills (written and verbal.) (Required)
  • A flexible schedule and willing to work on the weekends and evenings. (Required)
  • Proficiency in writing, editing and proofreading varying types of English text, including business correspondence, social media posts and promotional material. (Required)
  • Experience with copywriting and WordPress. (Preferred)
  • Ability to use Adobe Illustrator, PowerPoint, or similar applications. (Preferred)
  • High level of organization and attention to detail. (Required)
  • Customer Service experience. (Required)
  • Marketing experience. (Required)
  • Clerical experience relating to scheduling. (Required)
  • An interest and/or background in botany, horticulture, plant conservation, and related fields. (Preferred)

EDUCATION, LICENSES, CERTIFICATIONS & PERSONAL AFFILIATIONS

  • Bachelor’s Degree in related area or equivalent experience/training (Required)
