Description:

Management of medical devices throughout the device lifecycle from acceptance to disposal in a safe and efficient manner. Management of medical devices in line with MHRA Managing Medical Devices, Medical Device Regulations and other appropriate legislations and guidelines relevant to medical devices. Manage specialist technical services delivery for complex and patient critical medical devices such as acceptance testing, planned preventative maintenance, calibration and repairs. Ensure required planned preventative maintenance and repairs are completed within timely manner in line with CES KPIs and escalate issues when required.
Oversee the medical device maintenance contracts and ensure devices under external maintenance contracts are managed in a safe and timely manner. Provide expert advice and guidance relating medical devices to clinical users, general managers, speciality leads, project managers and procurement leads. Proactively oversee the device replacement plans and support head of department in developing rolling replacement plans. Develop technical specifications for medical device procurement and obtain quotes from suppliers.
Provide technical support in evaluation of medical devices prior to purchase. Ensure device asset register is accurate and up to date for specialist medical devices. Have overall responsibility for staff training within the section, organise external training where required and maintain up to date training records. The post holder will be the CES Health & Safety lead for CES.
Approve purchase of spare parts ensuring the expenditure is controlled and cost effective. Monitor stock levels and complete stock takes as required by the Trust. Monitor outstanding purchases and escalate supplier related issues to head of department. Investigate required regulatory notices and incidents and implement agreed corrective actions as directed by Medical Device Safety officer.
Communication The post holder, will need to communicate complex and sometimes sensitive medical device related information, financial information and HR information to; - Managerial, Clinical and Technical staff, within CES, the Trust and community healthcare organisations - External suppliers of goods and services - Financial colleagues - Employment services - Line Managers - Other team members - Logistic staff Understand and clearly communicate the technical, device related information about problems and faults, with healthcare professionals, suppliers, and service personnel. Attend Trust level meetings representing CES. Hold to monthly team review meeting and weekly huddles to ensure necessary information is communicated and items require escalation is identified. Organisation and Planning Plan and organise routine servicing, calibration and repair work with technicians, clinical staff and suppliers to ensure all devices are serviced and repaired in a timely manner.
Monitor key performance indicators. Allocate and prioritise resources to ensure key performance targets are met. Monitor outstanding jobs and encourage technicians to complete all work orders in a timely manner. Exceptional time management and use of planning and organisational tools to ensure management tasks are completed in a timely manner.
Service Development and Quality Identify and propose service improvement ideas to continually develop, improve and expand the service. Actively take part in quality and service improvement projects supporting other Service heads not only within CES but across the Trust. Be responsible for implementing change within the section. Support the Quality manager and internal auditors in the implementation of ISO9001:2015 Quality management system.
Be responsible for addressing corrective actions for any non-conformances and Datixs related to the section. Identify risks and opportunities within the service and escalate those to the head of department to ensure strategic plans are in place to address them. Financial and Resources Monitor and manage ordering of spare parts, service contracts, external maintenance requirements and accessories for a wide range of medical devices ensuring prudent use of departmental budget. The post holder is expected to be an authorised signatory for purchasing requests raised within NBT procurement platform.
The post holder needs to strictly adhere to current Trust financial instructions and ensure the best use of Trust and Departmental finances. Review the order progress and escalate any delays following up with the suppliers. Responsible for developing and implementing Cost Improvement Programmes (CIP) within their team. Monitor stock levels and perform agreed stocktakes.
Leadership and Management Be responsible for the line management of allocated technicians including; - Departmental Inductions - Sickness management - Performance management - Leave approvals including annual leave, special leave etc - Staff appraisals - Recruitment - All other personnel management items Be responsible for coordinating training and professional development of supervising staff within the section. Work with senior management team to ensure succession plans are in place. Take ownership and responsibility for their own continuous professional development. Provide line management cover for other CES services when required.
Information Resources Use CESs computerised equipment management database to update and maintain data on equipment maintenance, service schedules and documentation, in accordance with CES Quality System. Use of Microsoft Office applications to manipulate data, produce high level reports and Powerpoint presentations. Professional Regularly update specialist engineering knowledge through in- house or external training. Continual development of management and leadership skills through external training.
Monitor technological trends. Other Work outside normal hours on occasion when required. Perform other appropriate duties as assigned by the line manager. Provide support and assistance to other CES teams.
Ensure workshops are kept clear and tidy and efficiently managing the limited space
