Description:

The Administrative Assistant will play a crucial role in supporting the smooth operation of our client’s medical office. They will be responsible for handling various administrative tasks, maintaining office efficiency, and ensuring a positive experience for our patients. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a proactive approach to problem-solving.

QUALIFICATIONS:

High school diploma or equivalent; associate degree or certification in healthcare administration is a plus.
Proven experience in an administrative role, preferably in a medical or healthcare setting.
Proficiency in using computer software such as Microsoft Office Suite (Word, Excel, Outlook) and experience with electronic medical records (EMR) systems.
Strong interpersonal skills and the ability to interact effectively with patients, staff, and external stakeholders.
Excellent organizational skills with a keen attention to detail and the ability to multitask in a fast-paced environment.
Knowledge of medical terminology, billing procedures, and insurance verification is desirable.
Commitment to maintaining patient confidentiality and adhering to HIPAA regulations.

Responsibilities:

Patient Reception: Greet patients in a warm and professional manner, assist with check-in procedures, and ensure patients’ needs are addressed promptly.
Appointment Scheduling: Coordinate patient appointments, manage the appointment calendar, and communicate effectively with patients to confirm appointments and provide necessary instructions.
Medical Records Management: Maintain accurate and confidential patient records, including electronic health records (EHR), ensuring compliance with HIPAA regulations.
Billing and Insurance Processing: Assist with billing tasks, verify insurance information, and process insurance claims to facilitate timely reimbursement.
Office Maintenance: Maintain the cleanliness and organization of the reception area, exam rooms, and administrative areas, ensuring a professional and welcoming environment for patients and staff.
Supply Management: Monitor office and medical supplies inventory, place orders as needed, and ensure adequate stock levels are maintained.
Communication: Serve as a liaison between patients, medical staff, and other administrative personnel, responding to inquiries via phone, email, or in-person with professionalism and efficiency.
Administrative Support: Provide administrative support to medical staff, including typing correspondence, preparing documents, and assisting with special projects as assigned.
