Description:

JOB OVERVIEW:

The scribe supervisor supervises the scribe staff at their assigned RWJBH facility. This includes managing scribe job performance, ensuring proper on-boarding and training, and providing real time feedback and coaching. She/he/they are responsible for creating the site monthly scribe schedule and managing staffing and coverage and serves as the site’s lead point of contact for and between site clinicians, corporate management, and scribes. The supervisor must use good judgment and discretion in ensuring effective and efficient scribe operations.

QUALIFICATIONS:

Required:

  • High School Diploma
  • Completion of science or clinical coursework at the undergraduate level or above.
  • Work, Volunteer, or Shadowing experience in the healthcare field.

Preferred:

  • Bachelor s Degree
  • Experience in a direct patient care environment (Medical Scribe, Patient Care Technician, Medical Assistant, EMT).

SCHEDULING REQUIREMENTS:

  • Employee will rotate through all shifts: 7:00am-7:00pm, 11:00am-11:00pm
  • Full Time, 40 hours per week
  • 3-4 shifts per week
  • Shifts are 7 days per week
  • 2 Weekend Shifts (Both Saturday and Sunday) per month.

Responsibilities:

ESSENTIAL FUNCTIONS:

  • Supervise Medical Scribe staff of 20 to 50+ on all shifts at assigned facility
  • Maintain knowledge of and ensure adherence to department and system policies
  • Ensure New Hire Medical Scribes receive proper on-boarding to system, department and role
  • Provide training, mentoring, and coaching to site Medical Scribes
  • Seek out performance feedback from key stakeholders and deliver feedback to Medical Scribe in real time and during annual performance assessment process
  • Properly address Medical Scribe issues and concerns inclusive of properly navigating the performance management action process
  • Create monthly site Medical Scribe schedule
  • Manage daily site schedule, including addressing open shifts/call-outs to ensure proper coverage on all shifts
  • Responsible for managing Medical Scribes time cards, ensuring timely and accurate pay
  • Participate in recruiting and interviewing and interviewing Medical Scribe candidates; provides feedback re: candidate(s) of choice
  • Drive to completion department initiatives for assigned site, including but not limited to meeting site revenue cycle metrics
  • Conduct individual and site wide chart review during and after initial employee training, with subsequent continuing education as needed
  • Attend monthly meetings with corporate management, site Medical Director; and other meetings as needed
  • Conduct quarterly site meetings
  • Develop and maintain site manual
  • Help identify areas of improvement in the Medical Scribe work flow
  • Timely response to all communications
  • May be required to work a minimum of one clinical shift per week or three per month as a Medical Scribe, depending on business needs
  • Perform other duties as assigned
