Description:

Our client, a prestigious luxury sports club, is seeking a Membership Administrator to manage and maintain their membership database, ensuring effective communication with Club Management and the Honorary Secretary. This role also involves preparing documentation for Committee and Management meetings and operating in accordance with all Club policies, procedures, rules, and byelaws.
Key Responsibilities

Membership Management:

  • Prepare letters of introduction to international reciprocal Clubs.
  • Handle general membership queries, transfers, resignations, and leaves of absence.
  • Ensure prompt payment of membership subscriptions and follow up on outstanding balances.
  • Maintain comprehensive knowledge of membership procedures, categories, conditions, and fees.
  • Keep monthly records of membership activity and compile year-end data for the annual report.
  • Manage the annual membership application process, including processing forms and compiling information for the election process.
  • Digitally file communications and correspondences to individual member profiles.
  • Liaise with other departments to ensure member requests are met.
  • Monitor and act on membership feedback to promote continuous improvement and growth.

General Administration:

  • Oversee general administration requirements for the General Manager and Financial Controller.
  • Support the Club Governing Committee by preparing agendas, taking minutes for monthly meetings, and assisting with tasks from the Club President and Honorary Secretary.
  • Manage various general administration tasks to ensure efficient Club operations.
  • Maintain the Club’s locker lists.
  • File all Governing Committee and sub-committee minutes.
  • Prepare guest lists for Club events, send invitations, and keep lists updated.
  • Maintain up-to-date sub-committee lists, noting the rotation of committee members.
  • Order office stationery as needed.

Key Skills:

  • Office management and personal assistance.
  • Strong IT skills, particularly in Microsoft Outlook, Word, Excel, and Access.
  • Proficiency in report and document preparation.
  • Minute taking expertise.
