Description:
THE MINDESS SCHOOL IS SEEKING A DYNAMIC INDIVIDUAL TO JOIN OUR STAFF IN THE FRONT OFFICE IN THE POSITION OF 52 WEEK ADMINISTRATIVE ASSISTANT.
Position Description:
- Greet and interact with children and adults in a welcoming manner
- Welcome visitors and process appropriately
- Assist Principal by providing administrative support
- First-line contact for PTO and volunteers
- Responsible for handling staff attendance and substitute assignments
- Coordinate translation services
- Coordinate with teachers in planning Field Trips, including handling of money, etc.
- Handle Student Activities accounting and preparation of all documents, including check writing, deposits, reimbursements, gifts and donations procedures, bank statements, reconciliations, etc.
- Prepare reports for Business Office and/or auditors with regards to Student Activities and school checking account
- Complete all tasks in relation to the budget, including supply inventory, license renewals, etc.
- Complete all ordering through MUNIS
- Post all Site Council Agendas in timely manner
- Responsible for school calendar
- Initiate Daily Bulletin for staff
- Assist with data entry, document preparation, and filing
- Coordinate communication with staff, parents, and students as necessary
- Coordinate the logistics for events, including scheduling, room setup, and resource allocation
- Prepare materials and resources for meetings and events as required
- Liaison for school photos
- Liaison for office equipment
- Perform general office duties such as answering phones, responding to emails, and managing correspondence
Qualifications:
- Exceptional accuracy and attention to detail
- Excellent organizational skills
- Strong communication skills both verbally and in writing
- Strong ability to maintain confidential information
- Flexible, ability to multitask, and comfortable working in a fast-paced environment
- Strong interpersonal skills
Requirements:
- High School Diploma or equivalent Bachelor Degree preferred
- Proficiency in working with Microsoft applications and Google Documents
- Ability to speak other languages preferred but not required, preferably Portuguese
